Overview


It is the mission and intent of this position that the HR Coordinator will assist in the fundamental organization and development of systems within the HR department. This position will create all forms, scheduling systems, correspondence venues and devise accurate internal HR procedures for addressing daily requests.

The Human Resources Coordinator will be responsible for providing information, assisting in the daily operation of the HR department as well as the maintenance of all Colleague personnel records. The administrative requirements of this position will include but are not limited to the coordination of the recruitment function and initiatives, training, Colleague Relations, and general office projects under the direction of the Director of Human Resources.

The Human Resources Coordinator will report directly to the Director of Human Resources.


Duties and Supporting Responsibilities

  • Provide administrative support to entire Human Resources Team (computer projects, filing, copying etc.)
  • Assist applicants with initial application process (coordinate schedules and gather applications)
  • Responsible for coordinating new hire travel and hotel accommodations for interview and relocation purposes
  • Greet Colleagues as they enter the Human Resources office, creating a Climate of Enthusiasm
  • Assist Colleagues with general inquiries related to hotel administration
  • Must facilitate and maintain an active relationship with all levels of hotel management, particularly about the Hotel’s recruitment needs and efforts
  • Update and maintain all Colleague files
  • Answer calls and maintain reception area
  • Responsible for recruitment and employment processes for all exempt and non-exempt potential, current and prior Colleagues
  • Assists with Colleague Recognition Programs
  • Participates departmental meetings
  • Maintains company organizational charts
  • Maintain all daily recruitment logs (new hire, separation, transfers, promotions, employment requisitions) accurately and timely
  • Prepare correspondence and memos when necessary (Employment verification/references, regret letters, employment correspondence)
  • Assist in production and distribution of monthly newsletter

Requirements

  • Prepares new appointment offer letters for signature
  • Facilitate distribution of applicant drug testing paperwork
  • Input and monitor background screening results
  • Assist to inventory office supplies and complete purchase orders as necessary
  • Assist in monitoring birthdays of the month and anniversaries
  • Print forms and HR collateral on a regular basis ensuring par levels and quality is maintained
  • Assist with Colleague Relations events such as holiday parties, birthday of the month, recognition programs and sending monthly birthday cards etc.
  • Perform any additional duties assigned by Human Resources Team
  • Track and maintain all Colleague work card logs
  • Complete quarterly Colleague file audits
  • Complete quarterly I-9 audits

Desirable

  • Bi-lingual
  • Previous luxury hotel experience preferred
  • General knowledge of employment laws and practices
  • Knowledge of federal and state employment laws
  • Bachelor’s degree within one of the following fields: Human Resources, Communications, Education, Hospitality Administration or a related field
