Human Resource Associate

This position, in collaboration with a team of Human Resource professionals, will support HR processes for the Public Health-Seattle & King County department.

Work Location: 13th Floor Chinook Building, 401 Fifth Ave, Seattle, WA 98104.

Work Schedule: The individual selected for this position will be required to work Monday through Friday from 8:00 a.m. to 5:00 p.m.

Examples of Duties:
Assist and guide new employees in the completion of new hire paperwork which includes scheduling appointments and processing hire documents.

Coordinate and facilitate monthly new employee orientation.

Provide intake support for Family and Medical Leave requests and maintaining Access database used to store information. Responsible for inputting FML request Forms and Medical Certifications into HR database; sending out notices to employees and analysts to coordinate FML case management and running reports and queries to assist HR Analysts with case management.

Schedule and proctor employment examinations.

Establish, maintain, and retrieve a variety of paper and electronic files. Establish, maintain, track, and retrieve information and compile data utilizing spreadsheets, databases, and paper records. Will involve data entry and developing and running queries.

May Assist Employee Health & Safety Coordinator with entering employee immunization and training information and pulling reports from the HR Medical database.

Assist Work Study Coordinator with tracking hours, processing timesheets and reimbursement checks for PH Work Study students.

Respond to inquiries, information requests, and requests for assistance from internal and external customers, including providing HR specific information and problem solving. May be required to deal with sensitive situations.

Contribute to the HR unit’s continuous process improvement efforts, including documenting processes, providing support in meetings, and following up as requested.

Process and act as point of contact for supervisors who have questions about performance evaluation process.

May process reclassification requests and assist in making classification recommendations.

Prepare statistical reports, compile, interpret, verify and correct data.

Develop job announcements and screen applications for employment.

Qualifications:
Demonstrated ability to provide technical information to managers and supervisors regarding human resources (e.g., employment, compensation, classification) rules, laws, regulations, policies, and procedures as applicable to existing workplace situations.

Demonstrated ability to use Microsoft products including Word, Excel, Access, Outlook; research, interpret and report information; prepare statistical reports; communicate verbally and in writing; make presentations to large groups; establish and maintain effective working relationships with a variety of colleagues and customers; assess and interpret problems and identify options; develop, support and justify recommendations.

Demonstrated ability to work under pressure in a demanding environment, prioritize competing demands, and meet ongoing deadlines; exercise sound independent judgment and initiative within established guidelines; exercise tact and diplomacy in dealing with sensitive, complex and confidential human resources issues and employee situations.

Desired Qualifications:
Previous human resources experience.

Knowledge of and proficiency in the use of SharePoint.

Skills in using on-line recruitment and application management systems and PeopleSoft.

Public Health relies on office automation (Microsoft Office) and web-based enabled tools, therefore candidates must be proficient and comfortable with computer use to perform functions associated with on-going work.

Employees are required to adhere to OSHA/WISHA guidelines including but not limited to completing their mandatory trainings on time and obtaining required immunizations.

Regular and reliable attendance, effective communication skills, and development of effective working relationships are requirements of all Public Health positions.
