This position compiles and maintains personnel records by performing the following duties. The duties of this position are those described below. Essential Functions

  • Records employee information such as personal data, compensation, benefits, tax data, attendance, performance reviews, or evaluations, terms and new hires in SAP system and/or Kronos.
  • Works with HR Reps in the recruiting of non-exempt personnel.
  • Responsible for 100% records management of Rancho and CA Corporate housed employees. Ensures files are up to date, maintained by corporate standards, and systematically set up for ease of filing and location.
  • Assists in the coordination of employment activities, such as scheduling interviews, scheduling on-boarding and off-boarding, ordering uniforms, etc.
  • Updates employee files to document personnel actions and to provide information for payroll and other uses, as well as update employee logs in share drive.
  • Examine employee files to answer inquiries and provides information to authorized personnel..
  • Processes verification of employment
  • Compiles data from personnel records and prepares reports.
  • Assists department with the check collation and distribution process.
  • Computes KRONOS Data for use in payroll processing.
  • Maintains AAP log, discipline and attendance log, drug screen log, leave of absence log.
  • Performs pre-employment processes for candidate’s offers.
  • Maintains Uniform CPC Log and coordinates Plant efforts with Uniforms.
  • Maintains Safety Eye Glass Log, Shoe Vouchers, and other Employee Equipment as necessary.
  • Maintains Employee Computer Monitor for Plant Communication weekly.
  • Responsible for tracking and reconciliation of Fun Express tickets, ordering tickets, and making payment as noted by provider.
  • Assists HR Reps with benefit assistance to employees.
  • Responsible for normal employee traffic and ensuring that employees are taken care of with their requests.
  • Assists with Rideshare, AQMD, and other plant projects as directed by Department Management.
  • Assists HR Leadership in HR requests as needed.
  • Compiles and maintains record for use in employee benefits administration.
  • Other duties as assigned.

EDUCATION/EXPERIENCE/SKILLS REQUIRED

High School Diploma, GED or equivalent required, some College preferred. Minimum of 4 years of administrative experience in a high volume office. * Any equivalent combination of related education and/or experience may be considered for the above.

Knowledge, Skills and Abilities

ü Bilingual Spanish & English required

ü Expert knowledge of Microsoft Office: Word, Excel, PowerPoint and Outlook

ü Excellent communication and people skills.

ü Good organizational skills with the ability to multitask and prioritize

ü Independent worker yet strong team player.

ü High customer service skills

ü Ability to effectively present information in one-on-one and small groups.

ü Basic Math skills – Ability to compute rates, and percent and to draw and interpret bar graphs.

ü Excellent problem solving skills

ü Computer literacy – KRONOS and SAP experience (preferred)

1 year records management a plus
