Ground Handling Coordinator

Schedule: Sunday to Thursday, 8 hours/day
OVERALL RESPONSIBILITIES
Ensure the smooth operation of flights and services of Miami Air. Relay ground handling requests and operational schedules. Update customer distribution information as necessary. Obtain landing right approvals.
ESSENTIAL DUTIES
  • Relay ground handling requests and operational schedules to stations and multiple handlers, if possible, to secure ground handling services for company flights.
  • Receive and review charter bids to compare costs vs. services for time line operations. Make changes as necessary.
  • Relay handling information to Customer Service for dissemination to charters and crew and to Military for all Military charters. Assign ground handlers to ensure proper coordination of crew ground handling paperwork.
  • Assist Customer Service and/or Dispatch staff in entering and transmitting passenger APIS data via E Secure as needed.
  • Add vendor contact information to database for Customer Service distribution; make additions, deletions and changes as necessary to accurately communicate current information.
  • Obtain Prior Permission Required (PPR) numbers for military and special operation airports to ensure compliance with regulations.
  • Obtain landing right approvals and clearances from governmental agencies for domestic and international flights.
  • Coordinate irregular operations: station/customer error, investigate delays and issue corrective action, field non-routine customer inquiries. Ensure information flow as preventative measure for similar future delays and irregularities.
  • Ensure last-minute preparations for flights: review schedule for accuracy; evaluate airport for satisfactory operations; check FIS, service and parking availability.
  • Assist airport personnel in flight arrangements as necessary.
  • Provide cross-coverage for Ground Services Coordinator and Ground Handling Manager as required.
  • Update final alert records daily.
  • Handle calls and complaints due to lost or damaged baggage.
  • Prepare monthly mishandled baggage reports.
  • Protect passengers when flights are delayed (book on other airline, arrange for hotel, meal as applicable)
  • Review invoices for ground handling, customs, etc, and ensure accuracy.
  • Provide cross coverage for Dining Services
  • Occasional 24 hour duty period as assigned.
  • Other duties as assigned.
EDUCATION / EXPERIENCE
  • High school diploma or equivalent.
  • One to two years professional experience in similar position, preferably in the airline industry.
  • PC literate with intermediate proficiency in office applications and industry software.
  • Strong practical application and troubleshooting skills.
  • Good communication skills.
  • Able to manage multiple and shifting priorities.
  • Able to work independently
  • Knowledge of international Customs regulations preferred.
WORKING CONDITIONS
ENVIRONMENT
Air-conditioned office environment. Rare exposure to fumes, noise and odors when at ramp site.
PHYSICAL DEMANDS
Position requires sitting more than 75% of the time and standing, walking up to one hour at a time. Able to lift and carry document weighting up to 20 lbs. Visual acuity and manual dexterity required to operate a mouse, keyboard and proofread documents. Able to communicate orally on a daily basis to interact with employees and vendors.
OTHER
Some extra hours required to meet deadlines. On call 24-hour duty.
