Global Communications Marketing- Traffic and Project Coordinator

Job Description

As part of Operations embedded inside the Studio, you will be responsible for the oversight of Studio related projects and work traffic coordination. You will provide project management for projects as assigned to The Studio and you will be the expert on project management for the Studio on Global Communication Marketing (GCM) workflow platform, WorkFront. In this role, you will work with the Global Studio Senior Manager and others within the Studio to identify deliverables, including dependencies; negotiate and establish timelines and develop reporting measures for commits, and time effectiveness. Developing and managing an asset management system/process will also define success in this role.

Responsibilities and Tasks

  • Workfront

    • Serve as an SME for Workfront and department processes/deliverables
    • Maintain and create project and workflow templates
    • Create department process documents, presentations and/or training materials as needed and in conjunction with GCM Ops
  • Studio

    • Identify and coordinate with Studio resources to manage projects accordingly for timely project execution
    • Effectively communicate status, changes, challenges and dependencies to applicable stakeholders throughout the project
    • Identify conflicts and troubleshoot issues to make sure projects or process remains on schedule
    • Ensure project documents are organized, classified, posted and archived
    • Contribute project input to all planning and tracking tools including annual calendars, editorial content calendars for resource allocation purposes
    • Develop, implement and track KPI’s for The Studio’s performance to commits
  • Design

    • Monitor and follow up on issue and task workflow to ensure on-time delivery
    • Collect, track, and update into Workfront all requirements, deliverables and deadlines
    • Act as the primary point of contact and communicate project status through Workfront to all participants
    • Plan and schedule project timelines and milestones using appropriate processes and tools

Skills

  • Must have excellent planning skills and the ability to anticipate problems, ascertain the potential process snags and develop solutions that improve GCM workflow efficiency
  • Must understand basic Project Management principles such as durations, predecessors and constraint types
  • Must be able to multi-task on concurrent projects and deliver each task on time with known deadlines
  • Ability to proactively communicate deadlines as well as necessary project and process details
  • Data driven, analytically minded
  • Strong communication skills; listening, speaking, writing
