Foundation Coordinator- Major Gifts and Planned Giving

Summary:
The Foundation Coordinator Major Gifts and Planned Giving is responsible for performing a wide variety of complex clerical and administrative tasks for the Nationwide Children’s Hospital Foundation staff, specifically the Major Gifts and Planned Giving teams. Works with highly confidential information and under minimal supervision.

Responsibilities:
PRINCIPAL DUTIES AND RESPONSIBILITIES

1. Perform secretarial duties for Sr. Vice President and Executive Director, and the Director of Planned Giving, as well as the Major Gift team. This includes but is not limited to: typing correspondence, reports, preparing charts, slides and other materials for meetings and presentations.

2. Review and edit Major Gift proposals, stewardship communications, and other donor-related materials.

3. Planning for Major Giving and Planned Giving events such as Professional Advisor Dinners, Ambassador Council Board meetings, meetings with donors and their advisors, VIP tours/luncheons, and small events.

4. Assist in the administration, processing, and execution of planned and deferred gifts such as bequests, gift annuities, trusts, gifts of real estate, securities, estate notifications, and insurance policies.

5. Communication with Donors, Major Gift and Planned Giving prospects, attorneys and advisors, Board members, CEOs, Doctors, and nursing staff for securing potential meetings, relationship cultivation, and stewardship.

6. Place, receive, and screen telephone calls; greet visitors; schedule appointments and meeting rooms; coordinate luncheons and tours, and handle travel arrangements.

7. Plan, research, organize, analyze and complete special projects within specific department/division or facility as a whole.

8. Participate in documentation processes, obtaining, compiling, maintaining and issuing necessary records, reports, data or lists, ensuring accuracy of content and correct distribution.

9. Maintaining and updating records and files on open estates.

10. Prepare and process invoices for payment and maintain copies of all records.

11. Work with various Nationwide Children’s Hospital departments such as Education, Catering, Room Scheduling, Environmental Services, Marketing/PR, Security as well as external vendors.

12. Coordinates new employee orientation.

13. As directed, update donor records using Raiser’s Edge (donor records software) including new donor actions.

14. Maintain confidentiality for all donor and volunteer records.

15. Provide relief support for the Receptionist, as requested or needed, in coordination with other members of the support staff.

16. Direct or assist in training less experienced personnel.

17. Assist other departmental staff as needed.

18. Perform other related duties as assigned.

Other information:
KNOWLEDGE , SKILLS AND ABILITIES REQUIRED

1. High school diploma or equivalent with business coursework preferred.

2. Three to five years secretarial or administrative experience in a fundraising environment. Previous experience working with Major Gifts and Planned Giving program areas preferred.

3. Skill in composing letters, memos, and other correspondence.

4. Effective communication and interpersonal skills required.

5. Must be familiar with various software packages (i.e. Word, Excel, PowerPoint, Raiser’s Edge).

6. Ability to work with highly confidential materials.

7. Demonstrated personal initiative and team player with a positive attitude and professional appearance.

8. Ability to maintain professional composure in stressful situations.

9. Physically able to carry and move boxes and event supplies, and assist in setting up for various special events.
