Fleet Manager

This position will oversee all aspects of the US ABB Vehicle Program, including management of leased and owned fleet vehicles as well as driver reimbursement programs. Will coordinate with key stakeholders including Human Resources, Safety & Risk, Sales and Service functions as well as Corporate Finance. Focus on process standardization and simplification, policy compliance and customer service.

Tasks:

Main Accountabilities:

Program Management & Support

• Manage and update all aspects of US Fleet policies and processes to ensure relevance and compliance to business requirements.

• Collaborate with Human Resources in the on boarding and off boarding processes to efficiently transition employees in and out of the vehicle program.

• Create and manage an interactive driver training program to educate employees in the areas of policy, compliance and safety.

• Provide daily support to program participants as needed.

• Coordinate fringe true-up activities, including quarterly communications, process training and year-end analysis and payroll requests.

• Centralize and automate billing and invoice payments and maintain accuracy of general ledger coding master data.

• Support annual insurance renewal process by supplying master list of US vehicles and reimbursement participants. Provide corporate finance with data to support allocation of insurance costs to the appropriate business units and cost centers.

• Facilitate a semi-annual vehicle order and disposal process to maximize pricing discounts and vehicle resale values.

• Lead Fleet Administrators in daily and monthly tasks with a focus on continuous process improvement and learning and development.

Safety & Compliance

• Administer and support a Fleet Safety Program, including training, driver safety initiatives and communications, and accident analysis.

• Facilitate quarterly discussions with EHS and Risk groups to review accidents and violations, and drive follow-up actions.

• Perform annual MVR process and partner with Human Resources and business managers to assess and remediate safety risks.

• Determine key focus areas of telematics data, create a monthly process for review and follow-up to increase driver safety awareness and decrease accident/incident rates.

• Understand current safety trends and industry standards to create and maintain a comprehensive, sustainable safety program that aligns with the goals and objectives of the US ABB EHS organization.

Reporting & Analysis

• Establish and report monthly KPI’s tracking safety metrics, preventative maintenance compliance, cost components, accident data and fuel consumption.

• Perform annual cost and mileage analysis for all vehicle programs and make program changes as necessary.

• Support Corporate Finance team with compliance to FASB Leasing Standards.

• Coordinate with Strategic Category Management in contract negotiations with 3rd party fleet service and vehicle providers. Utilize annual analysis to communicate required services and determine overall impact to program costs.

Requirements:

Basic Qualifications

• Bachelor’s Degree in accounting / finance / or business related and 5 years of experience in fleet management and/or accounting management/accounting/finance

Preferred Qualifications

• Highly proficient in Microsoft Excel.

• SAP experience is strongly preferred.

• Self-motivated approach to continual process improvement.

• Strong customer focus and ability to meet tight deadlines.

• Strong written and verbal communication skills.

• Demonstrated history of professional and ethical standards.

• Outgoing and engaging in interpersonal style with the ability to establish rapport and effective working relationships with personnel at all organizational levels;

• Demonstrates a continuous improvement leadership style using ABB 4Q/Kaizen skillset; Ability to implement change and introduce best practice initiatives; Solid analytical and problem solving skills

• Cultural sensitivity, pro-active attitude and ability to work in a dynamic environment; Ability to work in a matrix organization with a diverse work-team.
