Fire Admin Specialist Sr.

Delivers daily customer service to support division staff and needs. Performs advanced clerical and administrative duties for division staff. Anticipates needs and proactively provides solutions and information. Cultivates, fosters, and maintains positive working relationships to further goals and objectives. Work requires initiative and follow-through under general supervision.

ESSENTIAL FUNCTIONS:

Delivers daily customer service to support division needs. Provides administrative support to Division Chiefs and Captains. Acts as a liaison between the division and citizens and/or employees. Organizes, monitors, prepares, and distributes documents and correspondence. Collects information regarding purchasing needs and/or executes purchases. (50%)

Prepares for meetings by providing agendas, minutes, documentation, facility arrangements, attendee preparation, etc. Monitors meeting deliverables. Coordinates with internal and external participants. Attends meetings as requested. (30%)

Compiles, processes and maintains information from various sources for standard reports, forms, and office documents. Provides department support including asset tracking, equipment surplus, and other specialized responsibilities. Provides general office support such as scheduling, equipment maintenance, etc. Assists with front office customer service to include greeting visitors and answering phone calls. (20%)

REQUIREMENTS:

Required Knowledge, Experience, And Training

Requires education and/or experience to attain the following:

Three years of progressively responsible experience supporting senior level management with administrative and operational support duties, and a high school diploma or GED.

Functional knowledge of general business office practices and procedures; standard office equipment; intermediate skill in Microsoft Office applications.

Ability to understand and comply with rules, regulations, and policies; demonstrate application of knowledge of future needs; identify and communicate potential process improvements; demonstrate accuracy, attention to detail, and organizational skills; maintains confidentiality with sensitive information and documents; display an attitude of cooperation and work harmoniously with all levels of City employees, the general public and other organizations; communicate effectively in the English language at a level necessary for efficient job performance; complete assignments in a timely fashion; understand and comply with all rules, policies and regulations; maintain prompt and regular attendance; perform all essential and marginal functions as assigned by an authorized employee, supervisor and/or manager with or without a reasonable accommodation.

Individuals must be capable of operating vehicles safely and have an acceptable driving record.

Preferred Knowledge, Experience, And Training

One year of experience providing clerical and administrative support to senior-level management in a public safety environment.

Advanced knowledge of Microsoft Office applications.

Licensing And Other Requirements

Valid Idaho driver’s license.
