The Administration Division is one of 5 divisions within Planning and Development Services. The Administrative Divisions function is for oversight of the department’s work program and for developing and maintaining a quality-driven organization through improved customer service, department administration, and City-planning policies.

PRIMARY DUTIES AND RESPONSIBILITIES

Department Budget Coordinator

Provides budget assistance to the department director, management team and Budget Office

Develops spending plans and monitors department expenditures

Designs computerized spreadsheets for analyzing, monitoring and reporting expenditure and revenue activity for the department, budget, and grants (including State grants associated with the Aurora South Metro SBDC and Brownfield Revolving Loan funds)

Other department grants from a variety of sources

Prepares quarterly reimbursement requests for the SBDC and reports for all grant funding in conjunction with the designated Grants Manager

Prepares draw requests for grant funding from the federal government, establishes required accounts for the Aurora Urban Renewal Authority (AURA) and assists the Manager and urban renewal staff with analysis and accounting of over 70 separate AURA budgets

Acts as liaison in all aspects of budget management between the department and the City’s Budget Office

Schedules and coordinates meetings with management, department staff members and outside agencies

Responds to a variety of external and internal requests for budget information

Coordinates special projects and reports

Processes purchasing, accounting and budget paperwork

Maintains/updates department records

Composes a variety of documents

Coordinates and distributes City Council Policy Committee meeting agendas and packets

Prepares minutes

Provide basic financial functions

Taking and recording payments and documents

Balancing daily accounts

Batching and processing documents

Conducting data entry and filing

May serve as lead worker assigning work and monitoring work completion

Perform other duties as assigned

MINIMUM QUALIFICATIONS

Associates Degree in Accounting, Business Administration, Public Administration or related field

At least 2 years administrative and analytical experience in budgeting and accounting Preferred Qualifications

Bachelor’s Degree in Accounting, Business Administration, Public Administration or related field An equivalent combination of training, education, and experience that demonstrates required knowledge, skills, and abilities may be considered

Physical Demands :
Primarily sedentary physical work requiring ability to lift a maximum of 10 pounds

Occasional lifting, carrying, walking and standing

Frequent hand/eye coordination for operation of office equipment

This position may require the incumbent to occasionally use personal equipment (e.g. vehicle, cell phone, tools, etc.) in the course of their employment
