Finance Specialist (School of Music)

Position Summary: The Finance Specialist is responsible for the daily financial operation of the school of music, including accounts receivable, accounts payable, and adjunct payroll preparation. This position reports to the Dean of the Wanda L. Bass School of Music.

Essential Functions:

  • Demonstrate an attitude and behavior that reflects the values and mission of the school and University.
  • Administration of accounting transactions for all School of Music and School of Theatre Dean’s accounts, both restricted and unrestricted.
  • Administration of accounting for the Opera & Music Theater and TheatreOCU production accounts.
  • Monitors the accounting transactions of the Performing Arts Academy and Pep Band.
  • Process all invoices for the schools of Music and Theatre.
  • Calculate amount due and sustain membership accounts for ASCAP, SEASAC, and BMI each year.
  • Prepare all contracts for adjunct faculty and accompanists.
  • Calculate and process all payrolls for adjunct faculty, accompanists and overload pay for fulltime faculty.
  • Reconcile credit card transactions for Schools of Music and Theatre.
  • Ensure all business services policies are followed by all school purchasing agents.
  • Maintain and update vendor files as needed.
  • Process budgets and accounts in a timely manner, review and validate invoices, matching purchase orders and payments.
  • Prepare check requests; verify vendors’ payments and budget transfers.
  • Maintain general ledger through Banner software and generate financial reports as needed.
  • Assist Dean with the preparation of the budget each year. This includes providing detailed analysis of past year’s expenditures, and projections for budget development.
  • Solicit itemized budget requests from faculty (travel, equipment, performance and advertising)
  • Other duties as assigned

Physical Requirements:

  • Manual dexterity to efficiently operate a computer keyboard and other business machines.
  • Near vision sufficient to read written communications and computer display screens.
  • Adequate hearing to communicate effectively in person and by phone.

Working Conditions:

  • Work is primarily indoors, but requires the incumbent to be in an outdoor environment when traveling between campus buildings or off campus.
  • Standard office hours are 8:00 a.m. to 5:00 p.m.
  • Attendance at evening and weekend events is sometimes required.
  • Off-campus, state and regional travel is sometimes required.
  • Incumbent will be exposed to frequent noise caused by shop machinery, musical equipment, telephones and office machines.

Required Skills
Knowledge/Skills/Abilities:

  • Demonstrated understanding of accounting and bookkeeping principles
  • Excellent customer service skills
  • Technical fluency with proficiency in MS Office Suite; ability to acquire new software and application knowledge quickly
  • Familiarity with Banner or comparable enterprise software
  • Excellent problem solving abilities
  • Ability to work independently or collaboratively
  • Ability to be diplomatic and discreet
  • Ability to work effectively and efficiently under pressure and meet deadlines
  • Well organized with great attention to detail
  • Have the ability to interact appropriately with people at every professional level

Required Experience
Education/Experience:

A high school diploma or equivalent is required. College coursework, an associate’s degree, or bachelor’s degree is preferred with coursework in business, accounting, finance or related field.

Three (3) years of experience in providing clerical support in a professional setting is required. 18 or more months of experience in accounting/bookkeeping is required. Experience in a higher education environment is preferred.

A suitable combination of education and experience may be substituted for minimum qualifications.
