Position title: Finance Officer

Reports to: President & CEO

Status: Full-time, exempt. Occasional weekend or evening duties.

Summary description of position: The Finance Officer provides bookkeeping, financial, compliance, IT management and personnel services in support of Downtown Partnership and its family of organizations, made up of two nonprofit corporations and two quasi-governmental organizations.

Qualifications:

  • Bachelor’s degree, with preferences to degrees in finance, accounting, business, public administration.
  • At least five to eight years’ professional experience with increasing levels of responsibility managing the finances and administration of an organization with an annual budget of $1 million or greater. Preference to experience with nonprofits or government
  • Experience managing IT providers, ensuring legal compliance, negotiating and managing contracts, managing personnel services.
  • Technological savvy and comfort with new software.
  • Computer expertise and proficiency, in particular Microsoft Office Suite, Quickbooks and CRM software (currently Memberzone).
  • Passion for Downtown Colorado Springs, urbanism and the mission of Downtown Partnership.

Essential job functions:

BOOKKEEPING

  • Weekly journal entries, invoicing, payment of bills, banking deposits.
  • Prepare monthly banking reconciliation reports.
  • Prepare donor reports as needed.
  • Manage Downtown Gift Card accounting system.

FINANCIAL ADMINISTRATION

  • Assist CEO in preparation of budgets annually.
  • Ensure proper submittal of budgets to city and state authorities.
  • Prepare monthly financial reports and interpret reports for CEO, board members.
  • Provide financial year-end projections and propose solutions for budget concerns.
  • Coordinate and oversee annual audits and ensure “clean” reviews by contracted auditors.
  • Oversee preparation of 990s annually through contracted services.

PERSONNEL

  • Bi-monthly payroll administration, with use of a payroll service.
  • Oversee annual health insurance and benefits renewals.
  • Manage workers compensation filings, audits and claims.
  • Manage retirement benefit renewals and compliance.
  • Onboard new employees and ensure proper tracking and paperwork of contracted workers.

OFFICE/ADMINISTRATION

  • Manage organization’s physical infrastructure (phone system, IT, equipment).
  • Manage the filing, storage and security of key documents.
  • Annual review of insurance contracts and other contracted services, which can include issuing RFPs or seeking new bids.
  • Answer phones as needed, when administrative coordinator is not available.
  • Attend Downtown Partnership Member Mixers.
  • Represent Downtown Partnership at occasional events and professional functions.
  • Other duties as assigned.

Work environment/physical demands

  • Approximately 90 percent of position involves sitting at a desk and using a computer.
  • Operate a variety of standard office equipment that may require continuous and repetitive arm, hand and eye movement
