Finance Coordinator

Background : Exalt Education is a non-profit organization that provides dedicated educators with the professional tools, systems and supports to serve children and youth living in poverty conditions. To achieve its desired impact, Exalt has developed a research-based, best-practices academic design that can be replicated quickly and effectively.

Currently, there are over 31.0 million Americans ages birth to 18 who reside in low-income homes. The number of low-income children has been growing for over 15 years. Without higher quality, more scalable forms of public education, over half of these children are unlikely to obtain a high school diploma. Far fewer will earn a college degree. Exalt exists so that low-income children can close the achievement gap with their more affluent peers, compete for competitive colleges and advanced careers, and realize the American dream.

Job Responsibilities : The Finance Coordinator of Exalt Education is charged with ensuring that Exalt Education and each of its schools are managing all major aspects of their finances in a proactive, routine, healthy and compliant manner, including multi-year planning, year-to-year budgeting, cash flow management, accounting and record keeping. It is anticipated that the Finance Coordinator will report to the Executive Director (ED) and Finance Committee, which consists of the ED, COO and Board Treasurer. The Finance Committee meets monthly and follows consistent routines.

The Finance Coordinator’s duties are listed below:

Exalt Financial Statement Preparation

  • Produce standard monthly financial statements by the 10th of each month, including income statement, cash flow statement, balance sheet and other analyses
  • Prepare the annual operating budget and quarterly budget-to-actual comparisons
  • Maintain and update a 12-month cash flow projection on a running basis
  • Develop and maintain a 3-5 year financial projection as part of Exalt’s multi-year business plan

School Financial Statement Preparation

  • Develop an integrated accounting and reporting system for tracking school-level financial statements
  • Monitor school cash flow and budget positions on a monthly basis
  • Ensure that the school Directors of Finance & Operations are producing monthly financial statements in a consistent, standardized, accurate manner
  • Monitor school board reporting at monthly meetings
  • Cross train in the school accounting system (APSCN)

Management of Accounts Payable/Receivable

  • Manage vendor relations including handling accounts payable
  • Manage all accounts receivable communications and payments
  • Keep an updated aging of accounts payable listing and discuss with Finance Committee periodically
  • Maintain updated files for all AP accounts/vendors

Grant Administration

  • Review all outstanding grant obligations/restrictions
  • Ensure that Exalt is properly segregating funds and accounting for different fund balances
  • Prepare and review program budgets for all grant applications
  • Coordinate the preparation and submission of grant expenditure reports
  • Maintain files for all grant opportunities, from initial inquiry through final expenditure report

In addition to these duties, the Finance Coordinator will be assigned other responsibilities as determined by the ED of Exalt Education.
