Job Title: Executive Assistant

Reports To: Director of Human Resources

Northpoint has an opening for an Executive Assistant in our Meridian, Idaho administrative office.

POSITION SUMMARY: As a key member of the Northpoint team, the EA provides executive administrative support to the President & COO, CFO, VP of Operations, and Director of Human Resources. This person will compose correspondence, gather data, prepare reports, and conduct research. Also, the EA will perform clerical functions such as answer/transfer telephone calls, receive visitors, arrange conference calls, book and manage travel, schedule meetings, and event planning. Work assignments involve information of a confidential nature and requires a thorough knowledge of Company policies, practices, and procedures. The ideal candidate has strong critical thinking skills, takes initiative, is self-motivated, and technologically savvy.

ESSENTIAL RESPONSIBILITIES AND DUTIES INCLUDE BUT ARE NOT LIMITED TO THE FOLLOWING:

  • Executive Assistant to the Executive team, which involves duties containing highly sensitive and confidential information
  • Gather data and conduct research for various projects
  • Compose a wide variety of correspondence, reports and other documents
  • Arrange travel, maintain Executive team’s calendars, manage and coordinate events
  • Plan meetings, including scheduling, agendas, securing meeting locations, catering, and other logistics
  • Receptionist responsibilities to include answering incoming telephone calls, determining purpose of callers, and forwards calls to appropriate personnel or department. Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel. Receives, sorts, and routes mail daily
  • Assist in maintaining the Company’s vendor contracts
  • Plan and coordinate corporate group functions such as teambuilding, pot lucks, lunches, and holiday parties
  • Consistently works as part of a team (locally and/or remotely) and must have the ability to interact with others in a professional and respectful manner
  • Physical presence in the work location while consistently working a pre-established work schedule
  • Maintain a professional office environment
  • Participate in cross training to meet the business needs

QUALIFICATIONS/REQUIREMENTS FOR POSITION:

  • Minimum 4 years’ experience in Executive level administration or similar role, preferably in a physician, hospital and/or health care setting
  • Experience with a fast-paced, high-growth company with multiple entities and geographic locations preferred
  • A team player who values collaboration, mutual support and team cohesion

PREFERRED KNOWLEDGE AND SKILLS:

  • Superior interpersonal and communication skills
  • Extremely organized and detail oriented with a strong commitment to accuracy
  • Handle regular activities without prompting and advise in advance with issues or delays
  • Able to handle confidential material in a reliable manner
  • Excellent communication skills; ability to communicate clearly and concisely, verbally and in writing
  • Strong interpersonal skills to handle sensitive situations
  • Social ease and a demonstrated ability to build relationships with a variety of different people and personality types
  • Ability to perform several tasks concurrently with ease and professionalism
  • Strong sense of urgency and ability to effectively prioritize workload in a fast-paced environment
  • Solid experience with office management systems; Proficiency with Microsoft Office Suite

  • Requires heavy use of mouse and keyboard
  • Indoor office environment
  • Exposure to emotionally impaired patients/clients is possible, though this position is not located in a treatment facility setting, and patient/client interaction will be infrequent

CONDITIONS OF EMPLOYMENT:

  • Completion of a tuberculin screening during first week of employment
  • Completion of a pre-employment drug screening, post-accident and random for upon reasonable suspicion of use
  • Completion of orientation and required paperwork prior to reporting to work
  • Demonstrated computer literacy
  • Completion of CPR/First Aid Training within first 90 days of employment
  • Attendance at all mandatory staff development and training
  • Completion of Health and Welfare background check
