Boutique Bites is a creative and custom catering & events company specializing in the mix of stylish food and exceptional presentation.

We produce events throughout the city of Chicago and suburbs. From black tie galas at chic city venues, to tented weddings in private residences, to multi-day corporate conventions, Boutique Bites coordinates your entire event from start to finish, including rentals, setup, staffing, and execution.

Boutique Bites was founded in 2008 by executive chef Elaina Vazquez. After graduating from The Culinary Institute of America, Elaina trained at some of the best restaurants in the country including Joel Robuchon, Tru, and Avenues at the Peninsula Hotel. The beautiful food and attention to detail are what inspired chef Vazquez to bring this restaurant-style experience to catered events.

In 2014, we expanded into our new West Loop headquarters which includes a 4,000 square foot commercial kitchen, as well as a private event venue, BRIQUE, where we cater events onsite for up to 150 guests seated or 200 guests cocktail style.

Job Summary

Boutique Bites is seeking Event & Office Assistants to assist with day to day duties at our West Loop location which includes our catering office, catering kitchen, and event venue (BRIQUE). The position will also be involved with off-site catering logistics & details and will require attendance at events (an open/flexible schedule is required). This is NOT an event/wedding planning position.

Responsibilities

:::including but not limited to the following:::

  • Greet visitors in a timely, friendly, and professional manner
  • Answer and screen all incoming calls; re-direct calls and record detailed messages as needed
  • Assisting and supporting the director of operations and occasionally the owner
  • Keep office and venue clean and organized at all times.
  • Basic office/venue housekeeping (i.e. turning on/off lights, adjusting thermostat, cleaning entryway windows, notifying appropriate party when building maintenance is needed, restocking bathroom supplies, empty office trash, etc…)
  • Organize and inventory general office supplies
  • Sort and distribute incoming mail; process outgoing mail, USPS, UPS, & FedEx
  • Create event binders for upcoming events
  • Maintain office equipment and technology (printer, computers, iPads, phones, internet, etc…) and schedule/oversee maintenance appointments when needed
  • Check staff and event calendars throughout day; ensure venue is prepared for all tours and visitors
  • Assist with light bookkeeping duties including processing payments and following up with sales team regarding client invoices
  • Open and/or close off-site and on-site events
  • Oversee staff working events including recording of hours
  • Fully review all event details and follow event specific directions as dictated by management

Qualifications Required

  • Working knowledge of Apple products. Advanced knowledge of Microsoft Office.
  • Ability to multi-task and coordinate multiple projects at once while taking direction from multiple sources. Prioritizing and maintaining control over workload.
  • Excellent communication skills, both written and verbal required.
  • Maintain a positive, pleasant attitude every shift.
  • Accept direction and constructive criticism from management.
  • Remain calm and perform job duties effectively in a busy and stressful work environment.
  • Flexible schedule required – availability for a variety of hours, days and shifts, including weekends, evenings, and increased work schedules.
  • Ability to professionally represent the company and interact with clients in a polished, responsible, and timely manner.
  • Work in confined, crowded spaces of variable noise and temperature levels.
  • Lift and move up to 10 pounds, frequently lift and/or move up to 25 pounds and occasionally lift and/or move up to 50 pounds.

While performing the duties of this job, the employee is regularly required to stand, walk, talk, and hear. The employee frequently is required to use hands and fingers to handle, or feel and reach. The employee may also be regularly required to sit or stand for prolonged periods of time.
