Epidemiology Administrative Assistant I

Provide administrative support to the Unit Administrator for the Epidemiology / Informatics Unit daily operation.

EXAMPLES OF WORK:

The Administrative Assistant will: Assist in managing the budget for grants and monitoring contracts; process contracts and payments; load contracts and subawards for the unit; monitor and track expenditures for Unit; ensure that grant or contractual allocations are not exceeded and are paid from the appropriate funding sources; serve as team leader for other administrative support staff members; research and draft correspondence for supervisor’s signature; manage emails, incoming mail and phone calls, and provide prompt follow-up. Will also coordinate and schedule meetings / events; monitor and track projects for the Administrator; review and track legislative requests and suspense letters for management level employees; prepare correspondence and administrative reports; prepare minutes for unit meetings and monthly surveillance calls; process requests for office equipment and storage of office supplies; assigned as Program Records Officer and Supply Officer for the unit; and provides general office support. Will assist with special projects as needed.

QUALIFICATIONS / REQUIREMENTS:

REQUIREMENTS: Experience in office management; or in developing and implementing work policies, processes, and procedures; or in monitoring and organizing program, administrative, or technical activities. OR Post high school coursework in: administration, management, accounting, finance, planning, policy analysis, administrative/management analysis, operations research, program evaluation, research, or similar fields.

PREFERRED: At least 2 years’ work experience with organization, finance, office management and/ or planning. Preferred candidate has previous grant management experience. Bachelor’s degree preferred in business administration, management, or related field. Familiarity with Microsoft Access and Excel.

KNOWLEDGE, SKILLS AND ABILITIES:

Excellent communication, coordination, and managerial skills with knowledge of Microsoft Office including Word, Access, and Excel. Must be organized and have the ability to work on multiple projects to meet deadlines.
