JOB SUMMARY:

The position is responsible for performing administrative functions for the Family Medical Leave Act (FMLA) program, monitoring Arizona Level 1 Fingerprint Clearance Card expirations and coordinating the weekly Employee Relations (ER) resolution panel meetings.

JOB DUTIES:

– Performs day to day FMLA program activities; provides general information to employees, sends FMLA packets and follows-up with employees returning to work through written correspondence, phone calls and via email

– Collects return to work releases, maintains files and medical billing

– Manages ER database by communicating with ER Officers to ensure cases are updated; generates reports as necessary

– Coordinates weekly ER panel meetings with management/general counsel, prepares meeting agenda, active case reports and gathers paperwork to be discussed

– Manages the ASEDRA database to identify suspended driver licenses and coordinates with employees and supervisors as necessary

– Tracks Arizona Level 1 Fingerprint Clearance Cards expirations and coordinates with field staff to obtain updates

– Drives on state business if necessary

– Performs other duties appropriate to the assignments

KNOWLEDGE, SKILLS AND ABILITIES (KSAs):

Knowledge of:

– FMLA law

– Federal and State statutes applicable to ER and/or area of responsibility

– Arizona Department of Administration (ADOA) Personnel Rules

– Project Management

– Microsoft Office Suite

Skill in:

– Verbal and written communication

– Establishing and maintaining interpersonal relationships

– Generating reports

– Providing professional and exceptional customer service to all levels of staff

– Prioritizing, time management and multi-tasking

Ability to:

– Identify process improvement initiative in work area

– Adapt to a continuously evolving environment

SPECIAL SELECTION FACTOR(S):

Requires the possession of, and ability to retain a current, valid state-issued driver’s license appropriate to the assignment. Employees who drive on state business are subject to drivers license record checks, must maintain acceptable driving records and must complete any required driver training (see Arizona Administrative Code R2-10-207.12).

Employees may be required to use their own transportation as well as maintaining valid motor vehicle insurance and current Arizona vehicle registration; however, mileage will be reimbursed.

Must be able to secure and maintain clearance from the CPS Central Registry.

PREFERRED QUALIFICATION(S):

– Bachelor’s Degree in a related field and (2) two years of professional work experience in a Human Resources office managing FMLA

– Experience using Excel to create spreadsheets and statistical charts

PRE-EMPLOYMENT REQUIREMENTS:

– Employment is contingent on the selected applicant passing a background investigation

RETIREMENT:

Positions in this classification participate in the Arizona State Retirement System (ASRS).

Enrollment eligibility will become effective after 27 weeks of employment.
