Document Control Specialist

Our Construction Management/Program Management division has an exciting an opportunity for an experienced specialist to join our team supporting the Port Authority. This position will serve as a document controller for major projects. Duties will include but not be limited to:

TYPICAL DUTIES AND RESPONSIBILITIES:
Responsible for maintenance of the project electronic and physical library records.

Act as a backup to the

Supports and maintain the operation of the Electronic Management & Physical File StructureSystems. (Using Primavera Contract Manager, Livelink and HP Records).

Serves as main contact for file maintenance, quality control and retrieval of physical files within the central library.

Prepare detailed construction and engineering project cost reports.

Maintain construction budget and cost expenditures

Validate invoices for completeness and accuracy

Implement and monitor the Work Breakdown Structure (WBS) for control and integrity

Maintains the master project/drawing / specification files as the repository of design /construction documents.

Maintains the records Transmittal Acceptance Forms / Destruction Logs & Records.

Handles document retrieval requests, and assists in document reproduction.

Assists with the document preparation for scanning (i.e., removes all staples, paper clips).

Organize, prepare and box in‐active records for archives, storage, retention and/or destruction.

Required Skills

Required Experience

The successful candidate will have the following:
Requires a high school diploma, Associate’s Degree preferred (or equivalent working knowledge/experience).

3-5 years of previous support experience required. Experience with Contract Manager or other contract management tool

Strong interpersonal and communication skills, both written and verbal, and a professional demeanor are required.

Must be detailed oriented, have excellent organizational skills and have the ability to multi‐task.

Familiarization with Primavera Contract Manager, Livelink and HP Records Manager (formerly TRIM) a plus.

Proficiency with Microsoft Office Package; strong understanding of Word, Excel, and Outlook.

Permanent residence or US citizenship is required.
