Job Title: Creative Operations Assistant

A little bit about our team:

The Creative Department at Atlantic Records is responsible for creating all visual elements that are used to brand, identify and market the artists under the Atlantic and Warner Bros. roster, through album packaging, advertisements, promotional materials and special edition packaging. The department is also responsible for creating brand identity for Atlantic Records and Warner Bros. as a label and pitch campaigns that create revenue streams for the marketing and sales departments.

In a climate where artwork is needed more than ever, this role is geared towards making sure the team has all they need to focus on the design aspect of the artwork. We will be creating systems to make sure the workflow is as smooth and seamless as possible. You will be dealing with almost all the departments at the company to make anything surrounding artwork is on order. From contract and invoices, to organizing and producing photo shoots, this is a great opportunity to make an impact in a great department at an amazing company.

Here you’ll get to:

Daily Responsibilities

  • Provide full administrative support for VP of Creative Services and Creative Director including but not limited to answering phones and managing Outlook calendar
  • Provide secondary support to Art Directors such as office supply orders, concert ticket requests, and assistance coding Concur expense reports
  • Create and manage high-volume requests of all creative contracts for assets between outside vendors (photographers/designers, etc.) and Art Department on a daily basis
  • Serve as the liaison between artist management, photographers, art directors, and designers for invoices and contracts regarding photo shoots and album/single packaging
  • Serve as the central point of contact for all financial inquiries between vendors and Art Department
  • Process and submit high-volume requests of creative related invoices through WMG accounts payable using Ariba and SAP; open and track purchase orders for Art Department using Ariba
  • Create new vendor requests through WMG vendor maintenance system and follow through to completion; including troubleshooting and assisting vendors in documentation completion
  • Manage and report on allocated art budgets to remain cost-effective and update invoice tracker to keep ongoing record of invoices paid to date

Ongoing Responsibilities

  • Facilitate all art/merch/marketing tool requests from outside departments and funnel to available art directors
  • Provide requested artwork to outside departments and vendors or point them to appropriate department to provide
  • Coordinate and book travel for off-site photo shoots for Creative Director, Photographer, and Art Directors within the Creative department using BCD travel and make schedule for Creative Director
  • Manage expenses for Creative Director and VP of Creative Services using Concur Solutions on a bi-weekly basis
  • File all documents (invoices, contracts, deal memos, travel itineraries, etc.) in online database ‘The Box’ in addition to physical artist folders in-office
  • Coordinate with HR to submit intern request forms for new or extended interns each semester
  • Monitor office/art supplies inventory and prepare orders to maintain proper levels via corporate Staples website

  • Experince with our Primary Software: Ariba, SAP, Concur Solutions
  • Experince with our Secondary Software: Mac, Microsoft Office, Adobe Creative Suite
  • Working knowledge of Adobe Photoshop
