Counter Sale / Reception / Admin

National Company based in Cape Town requires a Reception / General Admin / Counter Sales person.

To man the switchboard handle every call with great professionalism. To be the face of the Companyfor all walk in customers and serve them with quality service, knowledge and devotion and assisting the branch with all the administration.

1. Administration Assistance

  • Accurate capturing of Tax Invoices, when internal sales are busy or absent (sales)
  • Accurate capturing of AP’s & GRN’s (suppliers)
  • Obtaining supplier quotes, purchase orders and capturing thereof. Follow-up on purchase orders
  • Generate request, send/email and follow-up of RFC’s and RFI’s
  • Assemble all the necessary paperwork and assist with the recons of the suppliers & vendors
  • Assemble the paperwork for stock take and assist with the admin
  • Assemble the wages time workbooks and the timesheet; complete and handover to administrator
  • Assemble the fleet expenses slips and invoices to fleet invoices and hand over to administrator
  • Ensure that all company vehicles receives their routine Km’s maintenance and other services needed
  • Obtain quotes and order new staff uniforms & shoes when needed
  • Obtain quotes and ordering of office supplies/stationery
  • Ensure neat, organised and accurate filing and yearly archiving of all financial and sales paperwork
  • Filing of Credit notes to Tax Invoices with POD’s (Customers and Suppliers)
  • Assist in any other duty that may be reasonably required
  • 2. Reception and Switchboard

  • Answering and screening of all incoming calls and diverting to relevant person required
  • If required person is not available, try and help customer to the best of my ability
  • If caller insist on speaking to the required person urgently, and person is not in the office, ask caller to call person on his/her cell phone or to email directly.
  • If the caller can’t wait, take a message and send message via e-mail to relevant person.
  • If it is cold calling / a sales centre, ask they email either branch manager or branch administrator
  • Receiving all visitors at the front desk, by greeting them professionally and friendly, phone relevant party and announce the visitor, offer them a seat at reception.
  • Ensure reception area is always presentable neat and professional
  • .Maintain housekeeping standards and filing in a professional manner.

    Job Types: Full-time, Permanent

    Salary: R6,500.00 – R8,000.00 per month
