Coordinator of Academic Support

The overall purpose of this job is to enhance student retention, completion, and success and to contribute to the college mission by providing academic resources to all
PSCC
students through tutoring, technology, group study, meetings, early alerts, and other educational resources.

This position will:

• Assist with the management of student success, supplemental instruction, and or tutoring programs

• Update multiple web pages

• Assist with the creation of reports including but not limited to: statistical analysis on student usage and success, end-of-semester reports, and reports presented to personnel

• Attend meetings to represent the Academic Support department and/or record minutes

• Manage Academic Support program functions, observations, and marketing

• Perform various office management responsibilities

• Stand in for director as needed

Typical Duties and Responsibilities

70% Manage Supplemental Instruction

• Coordinate faculty requests for SI support.

• Coordinate the hiring, training, and scheduling process for SI Leaders, work with potential hires and Human Resources to facilitate the application process, generate contracts, and supervise the submission of electronic time sheets for payroll

• Plan, schedule, and hold beginning-of-semester trainings and monthly meetings throughout each semester

• Collect and oversee SI paperwork including applications, time sheets, weekly check-in forms, student participant sign-in sheets, and other designated paperwork

• Observe SI Leaders at least twice each semester and provide constructive suggestions for improvement

• Communicate important information with SI Leaders, faculty, and director

• Coordinate with Financial Aid the hiring of qualified candidates for SI leaders that are eligible for federal and/or local work study funding

• Measure effectiveness of SI by collecting, processing, analyzing, assessing, evaluating, and reporting on data.

• Submit reports on the effectiveness of SI to the Director of the Academic Support Center.

• Calculate and record costs, review monthly accounting documents and check for errors, submit budget requests, and prepare annual budget reports

• Determine budget restraints and plan expenditures.

• Communicate and market SI by preparing and distributing documents (correspondence, schedules, newsletters, brochures, flyers, posters) for the purpose of facilitating effective information exchange between students, staff, and faculty regarding department goals and activities

• Develop, monitor, interpret and revise SI Guidelines and Policies.

• Maintain D2L course with relevant resources

• Create, maintain, and manage information on web page

• Perform clerical duties: file, answer phones, take messages, check mail, and retain accurate records. Use Microsoft Excel and Access databases to retain correct information and to print contracts.

• Brainstorm about potential ways to improve the SI/PT programs while maintaining an affordable budget

• Determine needs and request supplies, equipment, and technology as needed for the SI program

• Participate in the national SI List-Serve

15% Assist with the management of the Academic Support Centers

• Analyze and evaluate the reports from Campus Track to determine the appropriate number of staff needed

• Create tutoring schedules for about 85 tutors on 5 campuses

• Create, advertise, and distribute marketing materials

• Manage ASC’s when Director is absent

• Communicate with and provide information to college personnel within a timely manner

• Troubleshoot and create solutions for problems that may arise with all ASCs

• Report any issues that occur in all ASCs

• Request support from Help Desk personnel when computers, printers, and other technology fails

• Research ways to improve
ASC
services

• Assist with other duties as assigned

12% Assist with the management of the Student Success Program

• Collect paperwork and update database throughout fall and spring semesters

• Prepare materials for monthly meetings

• Attend monthly meetings

• Update and maintain webpage, D2L course, resource booklet, paperwork, and other materials

• Observe and suggest improvements for the Student Success program

3% Assist the Director

• Attend meetings, open houses, and conferences in director’s absence

• Manage the Academic Support department in director’s absence

• Make decisions with the assistance of the Assistant Vice President of Academic Affairs when Director is absent

Required Qualifications

• Bachelor’s degree

• A strong background in math or data collection and tutoring

• Successful completion of courses in Management, Finance, Marketing, Accounting, and Statistics are essential

• Valid Tennessee driver’s license in order to travel to site campuses

• Working on some Saturday’s are required, as well as traveling to Kansas City, Missouri for SI supervisor training

• A minimum of 2 years’ of experience in the following skills is required to perform this job at a competent level. Work experience can be combined in all areas to include a total of 2 years.

Pay Rate

$42,440 – $52,540.00/per year. Pay will be determined based on related work experience above required. To be considered in determining pay, all related work experience must be listed on the application.
