Community Outreach – Program Coordinator

The Program Coordinator is the second level in a three level Program series. Positions serve as the primary point of contact for stakeholders to include assisting and coordinating with design engineers, resident engineers, contractor public relations staff, project superintendents, and staff with various issues that require action/resolution. Typical duties include conducting public educational meetings regarding safety hazard information and updates on rail transit projects and documenting and coordinating mitigation of stakeholders’ concerns.

Minimum Qualifications & Requirements:
Bachelor’s Degree in Business Administration, Marketing, or a related field and two years of experience in public involvement or community involvement; or, an equivalent combination of education and experience sufficient to successfully perform the essential duties such as those listed above. Bilingual (Spanish) preferred.

Valid Arizona Driver’s License

Community Outreach Program Coordinator –

Functions as the primary point of contact for the general public and stakeholders on assigned High Capacity Transit (HCT) project(s).

Serves as a liaison with internal departments, public agencies, external organizations, and/or other interested parties for Valley Metro Community Relations Division.

Establishes and maintains positive working relationships with local government staff and stakeholders.

Coordinates public involvement activities for long-term planning studies such as the Environmental Impact Statement and preliminary engineering, as well as projects in design and construction.

Represents stakeholders needs prior to construction activities being scheduled in front or around property, and documenting individual stakeholders concerns. Coordinates mitigation with a variety of diverse stakeholders and their concerns.

Coordinates interface between both bus and light rail related activities and issues.

Arranges and schedules meetings, public open houses and workshops regarding the HCT project(s) based on coordination with assigned project teams.

Organizes, facilitates, executes, and documents various elements of transit related ad-hoc groups developed by project teams as a result of community outreach efforts. (e.g. Community Working Groups)

Prepares a variety of presentations, project updates, and reports summarizing project activities. Participates in planning, coordinating, and overseeing special events and activities in assigned area of responsibility.

Participates in a variety of meetings, events, professional organizations, committees, and other related groups to ensure Valley Metro stakeholders are represented.

Business Assistance Program Coordinator –

Establishes and maintains positive working relationships with business stakeholders and member city staff.

Represents business stakeholders needs prior to construction activities being scheduled in front or around property, and documenting individual stakeholders concerns. Coordinates business mitigation program with a variety of diverse business stakeholders and their concerns.

Establishes partnerships with the local Chamber of Commerce, business service providers and government agencies.

Daily management and input of business stakeholder contact/activities in the Agency Stakeholder Management System (SMS).

Coordinates and assists partnering cities in the development, research and implementation of Valley Metro the Business Outreach Plans.

Serves as a liaison with internal departments, public agencies, external organizations, the general public, business stakeholders, and/or other interested parties.

Works closely with the Community Outreach Coordinator to assist business stakeholders with determining which business outreach program is most appropriate for them.

Arranges and schedules meetings, public open houses and workshops related to capital projects based on coordination with assigned project teams.

Organizes, facilitates, executes and documents various elements of business related ad-hoc groups as a result of business assistance program elements. (e.g. Business Partners Group)

Prepares a variety of presentations, project updates, and reports summarizing business assistance program activities.

Participates in planning, coordinating, and overseeing special events and activities in assigned area of responsibility.

Participates in a variety of meetings, events, professional organizations, committees, and other related business assistance groups to ensure Valley Metro business stakeholders are represented.

Performs other duties of similar nature and level as assigned.

Knowledge of:
Public information principles and practices;

Applicable federal, state, and local laws, codes, rules, and regulations.

Writing, editing and proofing a variety of materials including fact sheets, project updates and other materials;

Coordinating activities among multiple departments and agencies;

Developing public involvement and community outreach programs;

Working with diverse groups;

Facilitating meetings;

Communicating in order to interact with coworkers, supervisor, and the general public at a level sufficient to exchange or convey information and to receive work direction.

Physical Demands / Work Environment:
Positions in this class typically require: climbing, balancing, stooping, kneeling, crouching, reaching, standing, walking, driving, fingering, grasping, feeling, talking, hearing, seeing and repetitive motions.

Incumbents may be subjected to moving mechanical parts, electrical currents, vibrations, fumes, odors, dusts, extreme temperatures, inadequate lighting, intense noises, and travel.

Medium Work: Exerting up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.
