Community Affairs Operations Analyst

Based in New York City, Morgan Stanley Community Affairs is responsible for the Firm’s charitable efforts including: corporate and foundation giving, employee volunteering, giving and engagement, and communications and reporting around philanthropic issues for the Firm.

Community Affairs is seeking a full time Operations Analyst with 2-5 years of work experience in the nonprofit or corporate sector. This position will work closely with the Department’s Operations Manager on department operations, processes and vendor relationships including sourcing, evaluating, onboarding and maintaining relationships (i.e. employee giving/matching programs vendor, volunteer systems vendor, etc.)

Responsibilities

  • Assist Operations Manager in all aspects of the department’s operations, including management of vendors, technology, internal systems and processes, and payment/grant processes
  • Assist Program Managers in delivery of key campaigns (Annual Appeal, Global Volunteer Month and Change Makers) by supporting essential applications: vendor onboarding, application set up and management(including data feed management), trouble shooting , streamlining and documenting program processes, assessing and improving employee experience
  • Work with Annual Appeal team and matching gift vendor on monthly distribution of matching gift payments and grant payments
  • Work with Accounts Payable, Finance and other internal teams to ensure the timely and smooth distribution of department expenses and grants
  • Coordinate internal processes around budget, tax, reporting, regulatory matters, business continuity, risk and security
  • Assist in the collection, management, and reporting of department and program data
  • Back up for processing of corporate contributions and charitable contribution solicitations
  • Responds to general inquiries about Community Affairs programs and activities on the department phone line and e-mail

The ideal candidate will have the following professional experience and personal qualities:

  • BA and 2-5 years of work experience; related program experience a strong plus
  • Strong planning, administrative, and organizational skills; attention to detail a must
  • Experience in data management, analysis, operations and technology
  • Self-starter, resourceful, and a team player
  • Flexibility and ability to deal with changing priorities, manage time efficiently and meet

deadlines; Proven ability to multi-task

  • Ability to work independently and as part of a team — making informed decisions in a complex

and fast-paced environment

  • Proactive, analytical, and customer service oriented with an ability to work across various

corporate, non-profit and public audiences

  • Strong Excel, PowerPoint and Word skills (experience with data management, managing large

volumes of data in excel spreadsheets and creating reports a plus)

  • Great interpersonal and communications skills, sense of humor, and desire to learn are crucial
