Communications Coordinator

This position is responsible for assisting the Communications team and helps promote and market a positive dairy message to consumers and other general audiences. Provides broad administrative support to the department including maintenance of files and records; fulfillment of collateral and specialty items requests; coordination of meetings, small conferences and travel; preparation of letters, memos, expense reports, and various other reports; receiving and screening callers; handling mail, managing calendars, and other administrative duties. This is an excellent entry level position for candidates wishing to gain experience in marketing, communications, consumer events and public relations.

Provide support to the Communications Team for the achievement of goals and objectives:

  • Prepares, creates, proofreads and reviews confidential and general business correspondence and reports covering a wide variety of departmental topics where knowledge of department functions is required.
  • Coordinates meetings and conferences (including space, time and notification of attendees), and makes travel arrangements for appropriate department personnel (registrations, airlines, hotels, car rental, etc.). Arranges travel itineraries and processes travel expense reports.
  • Receives and screens callers/visitors and handles as appropriate. Relieves receptionist when needed and provides departmental phone support and may interact with associates, association members and vendors regarding programs and services supplied by the department.
  • Maintains departmental marketing/events calendar and assists team with logistics.
  • Helps track and maintain inventory for collateral materials and specialty items.
  • Creates Power Point presentations.
  • Assist staff, as needed, with consumer event planning and implementation.
  • Provide support, as needed, with digital communications campaigns.
  • Assist staff, as needed, with mailings, report planning, and maintaining databases.
  • Participate in staff meetings/conference calls.

JOB SPECIFICATIONS

EDUCATION AND EXPERIENCE:

Bachelor’s degree in public relations, journalism or related field required.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Excellent organizational skills: ability to manage time effectively, prioritize and handle multiple tasks/projects, and meet deadlines.
  • Knowledge of organization’s mission, policies and procedures.
  • Maintains accurate and thorough records and files.
  • Ability to travel to relevant geographic areas with some overnight stays.
  • Ability to work weekends and at times outside the hours of a traditional work day.
  • Ability to present both self and ideas, orally and/or in writing, using knowledge and the perspective of the audience so that the information is understandable and accepted as credible.
  • Knowledge of and ability to apply commonly accepted rules of grammar, spelling, and punctuation in written communication.
  • Knowledge of and ability to utilize personal computers and related software for word processing, database, and time allocation systems.
  • Knowledge of Microsoft Office applications (Word, Excel, PowerPoint, Access, Outlook).
  • Working knowledge of social media platforms, including Facebook, Twitter and Instagram.
  • Knowledge of protocol and procedures which govern the organization.
  • Skill of organizing and directing printing, compiling folders, compiling complicated mailings, as needed by staff.
  • Skill of preparing written materials and creating reports and summaries.
  • Skill of developing and maintaining relationships with external and internal customers and staff and work cooperatively and collaboratively within a team and maintain positive relationships.
  • Skill of using all office machines, such as photocopier, fax, folding machine, etc.
  • Ability to select a course of action in order to resolve a specific problem or issue.
  • Ability to travel to meeting sites, lift 50 pounds, and set up audio and AV equipment.
