Description

In this position, the Clinical Assistant coordinates and supports the activities of Outpatient Rehab Services by providing clerical and clinical support in areas such as reception, medical records, facility and supply maintenance, patient care and billing. Essential Duties and Responsibilities Reception/Office Duties

Greets patients, visitors and staff; answers telephones, screens and routes calls to appropriate person; opens, reviews and distributes mail

Utilizes scheduling system to set up initial appointments and return appointments ensuring accuracy; utilizes the scheduling system to effectively schedule patients.

Collaborates with other staff to ensure coverage of reception desk.

Accurately arranges and coordinates meetings, as well as scheduling patients.

Obtains signed consent, physician prescriptions, and insurance information.

Registers patients by obtaining the necessary information and accurately enters it into the computer system; collects co-payments and fees when appropriate.

Maintains display of educational materials for patients. Medical Records

Establishes, maintains and revises accurate record keeping.

Prepares medical record for therapist review.

Follows up on projects, phone calls, and correspondence in a timely manner. Patient Care/Environment of Care

Assists therapist in scheduling and implementing treatment programs according to the patient’s age, plan of care, and functional goals

Assists Exercise Specialists with some Medical Exercise sessions in the pool and in the gym, Senior Testing and Slice of Life.

Helps with set-up and organization of physician clinics.

Obtains and prepares correct supplies and equipment for therapy activities and procedures and cleans up at end of session.

Keeps all equipment and facility areas clean and in a state of readiness

Monitors the operation and care of the therapeutic pool area and trains and oversees volunteers

Acts as the Safety Representative and acts as a point person to follow through with vendors, engineering, contract workers, etc for any facility coordination needed

Assists Therapy Clerk at the front desk when needed. Documentation/Correspondence

Keeps Director informed of departmental needs, operational issues, and system concerns and offers thoughtful input to possible solutions/action.

Assists in orientation and training of new personnel using the orientation checklist and department Policy and Procedure Manual. Charge Posting

Prepares charge tickets and acquires all therapist charge information each day and accurately inputs into the computer system.

Takes an active role in the compliance program to monitor accuracy of entering charges, and makes recommendations for appropriate changes in processes to improve compliance.

Qualifications

High School Graduate or equivalent

Current BLS certification

Minimum of three years experience as an Outpatient Services Rehab Tech or applicable experience in a similar role

Type’s minimum of 30 WPM with 95% accuracy. Knowledge and correct utilization of grammar, spelling and punctuation. Knowledge of medical terminology and word processing systems.

Ability to communicate effectively and diplomatically within a multi-functional team

Strong organizational skills and attention to detail

Ability to successfully function in a fast paced, service oriented environment

Experience in understanding and usage of computers as well as the ability to learn applications relevant to the position
