Centralized Schedule Representative

Position Overview

Working from a centralized schedule department, maintains responsibility for the timely, professional and accurate scheduling of patients for medical appointments and procedures at each of RMYC’s clinics, located in the Thornton, Denver and Aurora, CO areas. Ensures adherence to RMYC’s scheduling protocols when entering patient and scheduling data into RMYC’s Central Scheduling System. Provides patients with accurate, detailed information as may be required for the scheduled service(s).

Essential Job Functions

Customer Service

  • Answer all telephone calls promptly and courteously.
  • Maintain a calm and professional tone of voice at all times; seek out assistance for calls that may be difficult to handle.
  • Uses customer service principles and techniques to deal with patients calmly and pleasantly.
  • Maintain a positive and respectful manner at all times with patients, families, staff, co-workers and the public.

Patient Scheduling

  • Follow clinic scheduling guidelines to ensure that patients are scheduled in a timely and appropriate manner.
  • Uses EHR system to match provider availability with patient’s preferences in terms of date and time.
  • Schedule patients with goal to achieve continuity of care by making the appointment with their primary/preferred provider and with a consistent Medical Assistant to the extent possible.
  • Aim to fill schedule with some overflow to account for cancellations.
  • Communicates as needed with physicians/clinicians and other staff about any patient concerns/issues related to scheduling. Consults with Centralized Scheduling Lead about any system problems.
  • Seek assistance from Centralized Scheduling Lead to determine additional alternatives for filling the schedule.

Requirements

  • HS diploma/GED required
  • Minimum of 1 year telephone reception, call center or office practice experience
  • Bilingual (English/Spanish) required
