Business Operations Specialist

The position of Business Operations Specialist serves as the primary point of contact and provides fiscal and human resource guidance and support to all professional staff and students for Student and Cultural Engagement (SCE) and International Student Engagement (ISE) within the Dean of Student’s Office, Tempe. The ideal candidate will be self-motivated, have a high attention to detail, possess exceptional organizational skills and have the ability to work well, independently, in a fast-paced, deadline driven environment.

Essential Duties

This position assists in administering the financial and human resource affairs of SCE and ISE within established timeframes. Duties include, but are not limited to:

• Working independently and exercising professional judgment to serve as a knowledgeable and helpful resource in respect to ASU and Educational Outreach and Student Services (EOSS) policies and procedures and to ensure accurate output and processing;

• Serving as Department Time Administrator (DTA) for professional staff and student workers;

• Recruitment of student workers and staff positions;

• Maintaining a departmental p-card, including daily management, document retention and monthly reconciliations;

• Assisting with budgetary duties and performing account reconciliations;

• Providing oversight, policy guidance and ensuring accuracy of the purchasing process within departmental units;

• Processing payments through the Financial Management System;

• Processing Travel Requests and Expense Reports for staff and students;

• Performing bi-weekly payroll reconciliations;

• Responding to audit requests and gathering documentation and financial records; and

• Assisting with special projects, requiring problem solving, research and recommendation of next steps.

DAYS AND SCHEDULE:

Monday through Friday, 8:00 am to 5:00 pm; some evenings and weekends for event

Minimum Qualifications

Bachelor’s degree in a field appropriate to the area of assignment AND three (3) years of related experience; OR, Seven (7) years of related experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

Desired Qualifications

• Knowledge of standard office and administrative practices

• Knowledge of ASU accounting and budgeting systems, procedures and techniques

• Experience using a financial system, human resource management system and reporting system in a higher education environment (Advantage, PeopleSoft and Kenexa preferred)

• Experience processing payroll and maintaining employee timesheets or serving as Department Time Administrator (DTA) experience

• Knowledge of ASU travel policies and procedures, specifically within Concur

• Experience handling cash, managing a departmental purchasing card and assisting in the operation of a fiscally sound environment

• Experience preparing detailed financial reconciliations and expense tracking reports

• Experience with Microsoft Office (Word, Excel, Outlook and Visio)

• Prior customer service experience

• Evidence of effective written and verbal communication skill

Working Environment

• Professionally represent department/program

• Sit or stand for duration of shift, climb stairs or walk moderate distances to perform work

• Work collaboratively across various departments within the University as well as with diverse populations and groups

• Develop and deliver presentations to groups

• Use computers effectively, including inputting, reviewing and retrieving information, extended periods of viewing screen, using mouse and keyboard, and sitting

• Use critical thinking to make decisions and/or analyze data

• Research, develop, implement and assess programs

• Communicate effectively both orally and in writing

• Walk throughout campus for meetings or events, regardless of the weather

• Work collaboratively to achieve objectives

• Use of standard office equipment, including multi-line telephone, fax, copier, scanner, pc-based computer and accessories

• Monitor expenditures

• Ability to lift up to 25 lbs.

Student and Cultural Engagement (SCE) and International Student Engagement (ISE) are part of the Dean of Student’s Office located at ASU’s Tempe campus and seeks to engage students in the ASU community through involvement in clubs and organizations, cultural coalitions and community service.
