Business Office Manager

Summary/Objective

Responsible to develop, plan,organize and implement current and future strategies to bill customers, processpayments, minimize bad debt, improve cash flow and manage the overall health ofthe company’s receivables. Also responsible for managing the day-to-dayactivities of the Dean McGee Eye Institute (DMEI) as they relate to revenuecycle functions which include but are not limited to front office services,billing, collections, accounts receivables and financial planning for patients.

This position will work with thepractice business offices and ambulatory surgery center staff on revenue cycleperformance to meet short term strategic goals and will provide analyticalanalysis and create written guidelines, policies, and procedures in accordancewith implementation of all work processes as a result of thorough analysis.

EssentialFunctions

Developsstrategic plans and programs for the Revenue Cycle team and

ensures that goals and objectives of the team are properlydefined and clearly

established;

Developspolicies, guidelines, and implementing procedures and ensures

consistent company-wide implementation;

Develops budgetaryplans, programs, and guidelines to ensure the team’s

strict adherence with financial guidelines and requirements;

Ensures thatoperating expenses are well within the prescribed limits of

budget plans and fiscal guidelines;

Providesprojections and reports as required, for development and

management of budget; produce and analyze monthly reportsthat assist in

the monthly forecast process;

Monitorstimeliness and effectiveness of department activities, ensuring

that outstanding patient accounts and accounts receivablesis no more than

the agreed upon limit and that bad debt is within budgetedtarget;

Participatesin the evaluation of the effectiveness and efficiency of the prior

authorization process; identifies problemareas and participates in the development

and implementation of appropriate correctiveactions;

Monitorseffectiveness of collection efforts and maintains insurance

billings are current within the established time framespecified in the

department policy;

Compiles andprepares various status reports for management in order to

analyze trends and make recommendations;

Enhance andstandardize our work-flow processes throughout the revenue

cycle to assist in achieving consistency in maintaining thecritical success;

Create a crossfunctional training manual for DMEI teams that

incorporates, as well as, aligns the Company’s strategy andculture of

Certainty and Operational Excellence;

Delineates,defines, and streamlines revenue cycle various functional activities

therebyensuring its effectiveness in maximizing the utilization of both asset

andpeople resources;

Conducts regularand periodic meetings with the team, to ensure the

following:
Implementation of all Revenue Cycle team plans, programs,and

projects strictly adhering to prescribed deadlines andschedules.

All communications and relevant information pertaining tothe

team are cascaded to the proper channels within the team inparticular,

and the organization in general;

Conducts andimplements “Performance Improvement Program”, through

thefollowing:
Performance coaching for the staff who failed to perform and

deliver the prescribed and committed level of performanceoutput and

standards

Performance counseling staff with behavioral/attitudinalproblems;

Implements thenecessary guidelines on discipline management for

erringemployees, in accordance with company policies, rules and

regulations,due process, and government regulations;

Performstraining and development functions, as follows:
Designs and develops training programs that are relevant and

necessary for the continuous development of the technical

competencies of the team;

Conductstraining programs, and acts as subject matter expert on

trainingprograms pertaining to the Revenue Cycle team;

Reviews andevaluates the performance of the team, on a regular basis, and ensures that theoverall performance of the team is on-track and well within the pre-establishedgoals and objectives;

Consolidates performancestatus reports of the team as basis for

monitoring theweekly progress of the various activities within the team;

Manages andoversees the patient services and billing staff in handling patient

Relations;

Review insurance requirements on all officeprocedures, treatments and imaging studies

anddocument predetermination/prior authorizations. Routinely review schedulesto verify all pre-certs are completed;

Handles complexpatients’ complaints and issues by explaining company

policies andguidelines as well as those involving compliance issues with state agencies;

Develops plansand programs in conjunction with DMEI leaders to monitor

patientrelations thru the conduct of regular patient satisfaction surveys;

Records Stateand Federal Regulations Management;

Ensuresadherence to HIPAA Notice of Privacy Practices;

Ensures thatrecords are stored securely and handled in compliance with

HIPAA privacyand security regulations, if applicable;

Implements stateand federal regulations on clinic records management;

Arranges forHIPAA, OSHA and risk seminars in conjunction with

Human Resources.

Qualifications

Strongmanagerial competencies in the areas of leadership and team development,

managerialcoaching and mentoring and situational assessment skills and with proven

track record inbuilding and developing high performing teams;

Strongbackground in financial management and knowledgeable of federal and state lawsand requirements relating to healthcare management;

managementinitiatives with the view of leading and guiding the organization towards

the future;

Strongmanagerial acumen in setting corporate directions and aligning strategic goals

around businessplans;

Superiorjudgment, negotiation and decision-making skills;

Stronganalytical skills and adept in interpreting strategic vision into anoperational

Model;

An effectivecommunicator at all levels in the organization, with strong oral, written

and persuasive skills.

WorkEnvironment

This is a clerical job in a healthcareclinical setting. The Business Office Manager will primarily work in an officesetting but may be required to walk to other areas of the clinic and may beexposed to contagious illnesses due to patient interactions.

PositionType and Expected Hours of Work

This is a full-time position working primarilydaytime hours Monday through Friday; however, some evening and weekend work maybe necessary on occasion.

RequiredEducation and Experience

Bachelor’sdegree in health care administration, business or other related field, OR

Minimum of 10 years of experience managing business officeoperations, such as but not limited to

clinic management, patient management, ambulatory surgerycenter management, billing and coding, receipt entry, accounts receivables andpayables.

Professional certification from accredited healthcareorganization such as AAHAM, AAPC, AAO, or ASOA.

PreferredEducation and Experience

Ophthalmology or Optometry experience aplus
