Job Summary:

The Business Manager is responsible for maintaining records of financial transactions by establishing accounts, posting transactions, paying bills, processing payroll, filing appropriate taxes and other documents as required of nonprofit agencies, as well as filing initial reports of injuries and maintaining personnel files. The Business Manager also trains and supervises customer service personnel and ensures patrons receive courteous and prompt service.

Essential Duties and Responsibilities:

  • Is the primary administrator of QuickBooks:
  • Enters and maintains accurate financial data, including income and expense transactions, payroll detail, asset and liability adjustments, restricted account balances, etc.;
  • Records journal entries to adjust accounts as needed;
  • Reconciles cash, credit card, investment accounts monthly;
  • Manages Accounts Payable and Accounts Receivable:
  • Pays bills via checks and online;
  • Receives payments and prepare bank deposits;
  • Generates invoices and statements;
  • Processes bi-weekly payroll, manage deductions as needed, manage timesheet submissions by hourly employees and submit to Executive Director for approval. Prepares quarterly payroll reports as necessary, ensure W-2 forms are correct, distributed and filed on a timely basis. Ensures appropriate worker’s compensation insurance coverage by estimating annual payroll and respond to requests for payroll audit information. Ensures compliance with state and Federal wage-hour laws and regulations.
  • Prepares annual 1099 forms for contract labor on a timely basis and maintain files for contract labor including any contracts, W-9 forms and payment records.
  • Communicates with vendors regarding bills, account balances/credits and related issues; report to ED.
  • Prepares financial reports to include the balance sheet, cash flow, profit and loss statements as well as other reports requested by the Board of Directors and government agencies;
  • Performs client preparation tasks prior to and during the annual financial audit; work closely with external auditor, Board Treasurer and ED throughout the audit process and 990 filing;
  • Maintains personnel files on all employees
  • Makes the initial report of work-related injuries and monitors related reports;
  • Hires, trains, supervises and disciplines customer service staff;
  • Completes performance appraisals on customer service staff as required;
  • Participates in management team meetings and works towards maintaining a healthy work environment;
  • Perform other duties as assigned. Qualifications:

  • Proficiency with QuickBooks, Intuit applications, Microsoft Office Word and Excel;
  • Ability to act as a self-starter, work efficiently, multi-task and meet deadlines;
  • Be detail-oriented and analytical;
  • Maintain organized processes and documentation;
  • Demonstrate strong written and verbal communication skills;
  • 1-3 years of experience in bookkeeping, accounting and financial management;
  • Demonstrates strong interpersonal skills;
  • Willingness to work in a team environment
  • Associates degree or equivalent preferred; Work experience can be substituted for degree.

  • Occasional lifting up to 50 pounds;
  • Frequent use of computer and telephone
