Bilingual Executive Assistant to CEO / Secretary (English-Spanish)

Position: PERSONAL ASSISTANT with opportunity for OFFICE MANAGER NEEDED VACATION RENTAL CO-WITH CEO

Pay: $500-700+/week depending on level of expertise and experience ($11-15/hr). Growth opportunities the faster the position is learned.

Expected hours: 9am-6pm, Mon-Thursday. Friday 9am-5pm. Weekends optional.

Job Description: We are a vacation rental company that rents out privately owned vacation properties on the beach in condo-hotels such as Fontainebleau, The Trump and many more. We also own a real estate company. We are looking for a salaried employee that will show us his aggressive skills to be devoted to helping better organize the company. This individual will be responsible for managing all the various departments (Marketing, Web Development, Field Workers, Repairs/Maid Service/Personal Tasks of CEO) and help further develop the departments as well. The position entails handling very high level decision making and handling tasks that are presently handled by the companies CEO. The CEO would like to further focus on expansion and adding new buildings to convert to condo hotels while the prospective employee implements that procedures required to turn it into a reality. With our unique model we are able to grow quite quickly but would require the additional staff. Finding that right individual that is well rounded in all business departments will assist in resolving that challenge and making it happen. We are looking for someone long-term whom will treat this business like their own. This individual will be able to make many of their own decisions with a very high level of independence expected.

Responsibilities:

  • Assist Marketing to engage in more Social Media Campaigns such as google adwords, Facebook, Twitter, Instagram Etc.
  • Create newsletters, email campaigns, online promotions, etc.
  • Provide support to social media efforts to target new audiences.
  • Research and analyze competitor marketing and sales materials.
  • Collaborate on team presentations for management and clients.
  • Coordinate all accounting issues to our in-house accountant to clarify anything that the owners are questioning and ensure that all bills are properly being charged back to the owners.
  • Handle day to day operations and implementations of all new and current ideas.
  • Hiring new staff and developing the current and future departments
  • Ensure that the current structure and booking process is done in the most efficient manner.
  • Automate the Inquiry process using new technologies and development (software development needed for this)
  • Automate the booking process (Using our current new booking engine and utilizing all features)
  • Creating filters to route all appropriate inquiries to the right persons or the sales manager to book immediately.
  • Making sure that all booking requests have been catered to and handled. Responsible to ensure that no booking request has gone unnoticed or unhandled and if we cannot deliver to get the sales team to find solutions to book the client and increase company bottom line.
  • Handling night audits to ensure that all property managers are properly posting payments and that nothing is outstanding. Ensuring all reservations has unit numbers attached to them.
  • Eventually the sales manager position will be developed to include picking up phone calls, calling clients to provide concierge services, assist in finding units for prospective clients when we are booked etc.
  • Managing the current sales team and property managers when needed and when issues arrive
  • Manage my Email and Calendar
  • Organize online and offline files
  • Make calls, send text messages, emails when necessary
  • Data Entry (text / voice messages, emails, phone calls, etc.)
  • Schedule meetings, appointments, and take notes
  • Work with my team members to assist them when necessary
  • List Management (adding / unsubscribing emails)
  • Handle some personal mailing for me (handwritten front part)
  • Most importantly: If I text, call, Skype (instant message) provide a quick response

Requirements:

  • Bachelors in Business may be considered as long as there is ample experience similar to the job position. Bachelors in Administration or related. If you don’t have a bachelors degree you must possess a VERY high level of administrative experience.
  • Must have experience online and/or internet marketing
  • High level of customer service to handle customer complaints in a professional manner.
  • Possess excellent written and verbal communication skills.
  • Possess creativity, flexibility, variety, and growth potential.
  • Should be open-minded, a fast learner, enthusiastic, and adaptable.
  • Real Estate or Property Rentals experience a PLUS.
  • A “go-getter” and “hustler” that will do whatever it takes to get the job done and grow the company.
  • Fluent written and verbally in both languages (English and Spanish)

Must be able to type at an average of 50 words per minute or higher. If you cannot – do not apply please and save both of us the time (no exception).
