Assistant, Fan Engagement

Websites, email, social media – the newly-formed Fan Engagement department oversees all these vital consumer touchpoints. We do more than take great #selfies! We oversee all of the ways artists communicate with their fanbase online, be it a meme that made you laugh, a tweet that made you cry, a playlist you can’t live without, or an email about your favorite artist’s brand new album. Our mission is to acquire, engage, and retain fans with clever digital strategies and compelling content.

The Fan Engagement Assistants are like the instrument techs and Front of House engineers at a concert – working behind the scenes but critical to a great performance. They oversee the foundational tasks that enable our department to move forward.

Their job is comprised of 2 primary areas of responsibility: Administrative duties and Digital coordination. This position calls for great communication, excellent attention to detail, and a passion for both music and digital media.

Here you’ll get to:

  • Proactively assist and report to the VP, Fan Engagement at Warner Bros. Records.
  • Manage phones and maintain calendar for appointments, calls, meetings, VIP visitors, key projects and follow-up tracking.
  • Calculate and submit invoices, timesheets and expense reports in a timely manner.
  • Assist in the processing of invoices and POs in SAP.
  • Coordinate travel arrangements and travel itinerary, including venue details.
  • Research, compile and present projects as requested.
  • Attend calls and meetings, as requested, providing a written recap of the discussion with follow-up steps.
  • Perform basic design work such as resizing photos for social posting
  • Draft weekly updates and summary sheets for each campaign.
  • Closely work and communicate with various internal departments to answer questions, broker solutions, handle requests, and disseminate information.
  • Complete special projects as assigned.
  • Participate in weekly brainstorms around artist content, learning from the team how to conceptualize and execute digital strategies
  • Create and track SmartURLs as needed (for releases, ticket sales, streams, etc)
  • Locate, curate, edit, and maintain library of digital assets for artists
  • Collect songs for and update playlists on Spotify, Apple Music, etc.
  • Review and update artist social and web properties
  • Submit and manage requests to other departments
  • Collect contact info and ship items to contest winners

Maintain invites & RSVPs for artist showcases & events
QA and post approved social content, email newsletters, blog updates, videos, tour dates, etc to artist social and digital channels
Create tour dates for artist websites and social media (Facebook event creation, BandsInTown set up, etc)
Pull social and digital reports as requested using our internal suite of tools
Research influencers, new blogs, and other partnership opportunities
Stay up to date on new social and digital technology in the marketplace
Other duties as assigned.
Rockstar candidates will be able to:
Comprehensive experience with PC and Mac platforms, especially with Microsoft Outlook, Word, and Excel (graphing)
Excellent written and verbal communication skills
Working knowledge of and passion for social media, music streaming. and digital platforms
Excellent project management skills with the ability to prioritize and manage multiple projects at once.
Ability to multi-task and work effectively in high pressure environment.
Effective online research methods.

A passion for both the music industry and online marketing is essential
Must be extremely organized and detail-oriented, have the ability to prioritize tasks, meet strict deadlines and a proactive style that anticipates problems before they arise
Very strong follow-through and problem solving skills are essential
Must be a creative self-starter who has outstanding people skills and works well in a very hectic atmosphere.
Possess a desire to learn more, to ask questions, and to grow with an outstanding team willing to mentor and nurture talented individuals
Education Required/Preferred:
Bachelor’s Degree
Knowledge of digital marketing or music business a plus
