Assistant Director, Programs

The Assistant Director of the Butler Center for Volunteer Service and Leadership Development (leadership focus) serves as an essential member of the Student Life team and has direct reporting responsibility to the Director of the Butler Center. The mission of the Butler Center for Service and Leadership is to serve as a catalyst in developing students who cultivate positive social change within their communities. The Department serves as an integral part of the Division of Student Affairs and works closely with the Student Center Complex, Department of Student Activities and Student Organizations, the Department of Orientation and Commuter Student Involvement, Multicultural Student Affairs and the LGBTQ Student Center. The Department collaborates and partners with the Office of Civic and Community Engagement and University-wide centers run out of the various schools and colleges.
Summary of Role
  • Serves as the primary administrator responsible for the management and oversight of the student leadership development process and outreach to community partners to enhance civic participation among students.
  • Responsible for the advisement and management of approximately 40 of the major service-related program boards and student organizations sponsored by the Butler Center for Service and Leadership.
  • Responsible for the advisement and management of several of the leadership program boards, steering committees, and leadership conferences/symposiums sponsored by the Butler Center for Service and Leadership.
  • Assist the Director with oversight and implementation of strategic planning initiatives regarding community service, civic engagement, and leadership education and development.
  • Performs additional responsibilities as assigned by the Director.
Nature of Responsibilities
  • Manages the day-to-day operations and provides support and assistance with the direct and indirect advisement of approximately 40 student leadership and service organizations, advocacy groups, programming boards and action committees affiliated with the Butler Center for Service and Leadership. Coordinates the departmental calendar of programs and events.
  • Develops and implements University-wide awareness programs to educate students about volunteer and leadership opportunities on campus and within the community including ‘Canes for a Change Week, Social Justice Week and Tunnel of Oppression.
  • Collaborates with the Office of Civic and Community Engagement, Center for Undergraduate Research, Government and Community Relations, the academic schools and colleges and administrative units to develop innovative initiatives that further develop partnerships with the community. Works with the Director to create additional avenues to augment service, leadership and civic engagement on campus.
  • Assists with planning, site recruitment, liability assessment and implementation of University-wide days of service on campus. Each day of service constitutes placement of between 100 and 1,200 student participants at a number of community service sites throughout the Miami-Dade County.
  • Manages the day-to-day operations of the community volunteer placement process for students, which includes the development and administration of a community data base, agency outreach and orientation, tracking of student placement and hours, and assessment of each experience (student and agency).
  • Works with Media Relations, Government and Community Relations, and University Communications to manage the University’s public relations and develop proactive strategies to address issues of social justice and equity as they relate to student activism.
  • Utilizes social media platforms to promote and connect students to the community and services provided by the Butler Center for Service and Leadership.
  • Produces publications as needed to promote programs and services for the Butler Center. Establishes and coordinates ways to recognize and reward student volunteerism through recognition. Responsible for the design and publishing of a weekly leadership and service e-newsletter called The Butler Connection, to ensure students are referred to appropriate community agency requests for volunteers through listserv notices, OrgSync, postings in the office and direct communication with student organizations.
  • Assist in the coordination of the 9-week, cohort-style Leadership UMiami for Democracy and Social Change program with fellow professional staff members. Will accompany students on appropriate site visits and chaperone the 4-day Washington, D.C. Experience.
  • Coordinates the annual Celebration of Involvement Reception to recognize excellence in student leadership. Administers the selection process for capstone awards offered to undergraduate students including the Edward T. Foote II Award for Excellence in Leadership, the Vice President’s Award for Service, the Robert Bates Cole Award for Volunteer Leadership, the Sherwood M. Weiser Award for Student Community Service, the Ann S. Waldman Endowed Scholarship, the Vivian Berger Giller Impact Award, and the Magaly Santos Llaca Endowed Memorial Scholarship.
  • Designs, plans, and coordinates the Patricia A. Whitely Women’s Leadership Symposium. Communicates regularly with faculty and community presenters; manages student learning outcomes, and assessment. Supervises the Whitely Women’s Leadership Symposium Steering Committee and oversee the selection of those students.
  • Designs, plans and coordinates the First Year U: Learning, Leadership and Community, a fall semester intensive and interactive leadership program composed of new freshmen students, which are selected based on future leadership potential and are led by a team of faculty members, Academic Fellows and Commuter Assistants. The program includes an off-campus day retreat, field experiences, and mixes large group activities with smaller cohort-based experiences.
  • Oversees the planning, recruitment, and selection of students representing the University of Miami at the South Florida LeaderShape Institute.
  • Oversees the recruitment and selection of students representing the University of Miami at the ACC Leadership Symposium. Volunteer and represent the Butler Center for Service and Leadership at various Division of Student Affairs and Student Life programming including Cane Kickoff and Homecoming events.
  • In consultation with the Director, evaluates effectiveness and objectives for campus engagement activities and events (service-related and leadership) through the development and implementation of assessment instruments.
People Management
  • Recruit, train, supervise and evaluate Butler Center student employees in the office. Sets developmental goals and plans with student employees each semester to maximize performance.
  • Assists with student employee training initiatives in conjunction with the Director and provides daily supervision. Will attend and implement one training session per semester for student staff members on weekend determined by the Director.
  • Oversight of the Community Partner Agency Database through OrgSync and communicates regularly and effectively with over 450 community agencies to consistently audit quality of experience offered.
  • Recruits, trains, supervises and evaluates graduate students and practicum students in the office (as available). Sets developmental goals and plans with graduate students and practicum students each semester to maximize performance.
Weekend Responsibility
  • Coordinates and attends Teambuilding Day and Experience Miami trips for First Year U: Learning, Leadership and Community throughout the fall semester.
  • Oversees Tunnel of Oppression Build to support the development of student organization room concepts addressing oppression.
  • Develops and facilitates Leadership UMiami, a 9-week, cohort-style leadership program for upper-class students exploring concepts related to democracy and social change. The program features weekly on campus sessions and off campus community visits. Additionally, will accompany students on a four-day trip to Washington, D.C.
  • Plans and executes a weekend staff retreat for Butler Center student staff to facilitate group development and understanding of office responsibilities.
  • Serves as staff advisor for the ACC Leadership Symposium, a three-day leadership development conference for students hosted at the host institution.
  • Facilitates weekend long staff retreat at off-campus site to enhance personal development.
  • Assists with planning, site recruitment, liability assessment and implementation of six University-wide days of service on campus. Each day of service constitutes placement of between 100 and 1,200 student participants at a number of community service sites throughout the Miami-Dade County. University-wide days of service include: Orientation Outreach, Gandhi Day of Service, Hurricanes Help the Hometown, Martin Luther King Day of Service, FunDay and Black Awareness Month Day of Service.
  • Aids in the development, liability assessment and facilitation of on-campus programming and days of service with minors in attendance. Will serve as a Level 2 Background Check staff member for these events. Examples include, but are not limited to: Black Awareness Month Day of Service, Camp Kesem Fall Reunion and Summer sendoff, Written in My Soul Poetry Slam, etc.
  • Facilitates and develops programming for day-long leadership development symposiums including the Patricia A. Whitely Women’s Leadership Symposium.
Financial Responsibility
  • Serves as budget signatory and provide oversight for budgets for the service-related programming boards. Assists the Director in ensuring that all students groups and office programs comply with all institutional policies and procedures, including ensuring that they operate within the parameters of funds allocated.
  • Serves as a staff advisor to the Butler Center Student Advisory Board to ensure fair distribution $20,000 in financial resources for student groups affiliated with the Butler Center for Service and Leadership.
  • Engages in the research and development of grant proposals. Assists the Director in the preparation, follow-up and implementation of any proposals specifically as it relates to reconciling financial obligations.
  • Engages in fundraising activities and donor cultivation to support departmental programs and services under the advisement of the Director.
Decision-Making/Strategy
  • Contributes ideas and viewpoints to the Director on operational and strategic plans for the department, campus/community programs and events as well as collaborative partnerships.
  • Makes daily independent decisions to ensure department objectives are met and that University policies and procedures are followed.
Education Requirements:
  • Master’s Degree in higher education or related field.
Work Experience Requirements:
  • Two years experience required preferably in higher education student affairs and/or community service/civic engagement.
  • Must be able to operate professionally and autonomously.
  • Knowledge of leadership development theories.
  • Must have customer service, organization, and planning skills.
  • Will be expected to work some nights and weekends.
