Assistant Director, Finance

The Assistant Director of Finance is directly responsible to the Associate Director of Finance and indirectly responsible to the Senior Director of Housing and Residence Education (H&RE) at the University of Florida (UF). This position supervises the accounts payable functions for the department, including disbursements, vendor relations, property, equipment, and inventory. He or she will be responsible for administration and preparation of monthly and annual financial statements. Position is responsible for ensuring all accounts payable processes are in compliance with UF finance and accounting policies and procedures, particularly those related to disbursements and procurement.

– Responsible for overall management and supervision of accounts payable which includes: concessions, utility expenditures, vendor payment processing, vendor relations, purchase card processing, journal processing, and supervising department’s accounts payable staff. Develops, implements, and evaluates accounting schedules and processes for eleven Housing concession fund expense accounts. Develops, supervises and evaluates processes for over $3 million dollars in Housing monthly utility expenditures and office telephone expenditures. Responsible for reviewing and updating H&RE’s accounts payable procedures manuals.

– Assists in providing strategic oversight of H&RE’s annual budget of $56 million by reviewing, analyzing, and interpreting financial information and statements. Interprets budget and administrative regulations daily. Ensures accounts payable processes are in compliance with university, state, and federal rules and regulations. Assesses and evaluates accounts payable operations to streamline work processes and improve workflow. Assists the Associate Director for Financial Services with resolving budgetary and financial problems.

– Responsible for the administration and preparation of monthly and annual financial statements to include posting to general ledger, general journal and subsidiary ledgers for four separate and distinct funds. Generates monthly PeopleSoft Financial Departmental Ledgers for use in preparation of Housing budget and reports. Prepares various reports and monthly schedules to allocate Housing costs. Analyzes Housing Property Inventory transactions and balancing to UF monthly inventory depreciation reports. Prepares monthly reconciliations for cash, Accounts Receivables, Accounts Payable, and revenue.

Advertised Salary:

$60,000 to $70,000 Commensurate with experience

Minimum Requirements:

Master’s degree in an appropriate area and two years of relevant experience; or a bachelor’s degree in an appropriate area and four years of relevant experience.

EDUCATION & TRAINING

  • Educational background to include a major in student personnel, marketing, public relations, finance, administration, or business

EXPERIENCE

  • Two to three years of fiscal management at a college or a university
  • Working knowledge of student assignments
  • Understanding of and a commitment to the objectives of higher education is desirable
  • Ability to work cooperatively with university students, parents, and staff is desirable

KNOWLEDGE

  • Knowledge of PeopleSoft and the Integrated Student Information System (ISIS)
  • Knowledge of UF Purchasing procedures and processes
