Assistant Complex Director of Sales

Summary: The Complex ADOS will be responsible for assisting the DOSM in creating Hotel?s Rooms Budget (Group and Transient) and Social and Group Banquet Revenue Budget, Managers Selling Goals, and Marketing Plans. ADOS will report directly to the DOSM and will be responsible in managing and driving the Sales/Catering Team. The ADOS will also have a personal revenue goal.

  • This position will assist the Crowne Plaza Phoenix Airport and the Holiday Inn & Suites Phoenix Airport North
  • Previous experience at Full Service hotels is preferred
  • Time split 50/50 between the two properties

Duties and Responsibilities include the following and other duties may be assigned.

  • Assist in creating & executing Marketing Plans, Budgets and Team Revenue Goals.
  • Drive Team to meet/exceed Team and Personal Revenue Goals.
  • Assist in development of Team. Coach and counsel when needed.
  • Work with DOSM & Revenue Management Team to create revenue strategies and implement with Team
  • Ensure Team meet solicitation/activity goals. The minimum standard for HMC solicitation/activity goals per month are:
    • Sales Managers/EMM: 10 Outside Local Sales Calls, 5 Sites/Client Entertainment and 200 prospecting calls
    • IBT Manager: 30 Outside Local Sales Calls, 10 Sites/Client Entertainment and 100 prospecting calls
    • Catering Sales Manager & Catering/CS Managers: 10 Outside Local Sales Calls, 5 Sites/Client Entertainment and 100 prospecting calls
  • Prospecting calls may be a combination of email and phone prospecting
  • DOS & GM have the right to increase solicitation goals of all Mangers based on markets.
  • Meet/exceed personal revenue goals
  • Assist in creating monthly forecasts
  • Work with all departments and implement clear communications on customer expectations, group needs and
  • Assist in planning and monitoring Hotel’s advertising and promotional activities.
  • Maintain compliance with Brand standards
  • Review concessions offered to Group/Catering Clients, ensuring minimum revenues are held intact and commitments can be met.
  • Review all contract revisions and addendums
  • When needed assist in negotiations and closing of deals
  • Ensure Managers are responding to all leads in timeframe implemented by Brand or HMC Policy
  • Monitor market response.
  • Meet booking pace of group rooms as set and approved by DOSM including rate average.
  • Plan and administer sales programs and policies to promote Hotel patronage.
  • Follow all appropriate policies and procedures while constantly striving to improve all standards of operation.
  • Execute prompt and courteous service to ensure that guest expectations are exceeded.
  • Ensure hotel compliance with HMC group sales and sales bonus polices.
  • Oversee and/or assist in all special sales related projects (i.e., photo shoots, sales blitzes, openings, etc.).
  • Provide detail explanation of variances for future year reference as needed.
  • Demonstrate positive leadership characteristics that inspire employees to meet and exceed HMC standards.
  • Monitor Hotel compliance in Signature and Guest Satisfaction Scores programs.
  • Manage operations in compliance with local, state and federal laws and regulations.
  • Participate in emergency response team activities including fire drills, alarm tests and emergency response practice sessions as directed by hotel management.
  • Immediately report all unsafe conditions and suspicious activities. No employee will pose a direct threat to the health/safety of self or others
  • Assist DOS in completing reports and paperwork (i.e., forecasts, annual budgets) as assigned. Including:
    • Generate 3 ?Day report and update catering revenue figures for the current day and the following three days. Input actual revenue figures for the previous day.
    • Calculate 10 Day Forecast Numbers and input on weekly report by 12 PM on Tuesday. Revise forecast in Profitsage based on these numbers.
    • Calculate 30-60-90 Day Forecast Numbers and input in Profitsage by the 25th of the month.
    • Prepare critique of the previous months actual vs. forecast.
    • Monthly Diary audit

Knowledge and Skills:

  • Bachelor’s degree or 3 years’ hospitality service experience
  • Minimum of 1 year supervisory experience
  • Valid driver’s license
  • Ability to direct/motivate sales/catering department to meet revenue goals
  • Working knowledge of the banquet department (sets, A/V equipment, supervision, scheduling, service, menu planning, etc.).
  • Proficient in computer applications such as Excel, Word, Outlook and PowerPoint.
  • Experience using a Property Management System such as Delphi a plus
  • Strong written and verbal communication skills
