Administrator Logistics (Exports & Customs) (Non-Permanent)

ABOUT THE ROLE / PURPOSE OF THE JOB
This role is an operational approach to ensure the export administration of the road and rail export documentation in accordance with the Customs and Excise Act and Regulations plus operational and service level agreements in accordance with business requirements. To provide management support to the Lead Exports & Customs Admin. This role must also practices to meet SARS and Customs and Excise Act and Regulations and alignment requirements. Directs activities to limit costs, improve accuracy, customer service, and safety. Ensure prompt payment to service providers.
FUNCTIONAL OUTPUTS
Execution of the objectives and goals of the Trading Admin Department
  • Preparing of overland and BLNS export documentation for road and rail by sending EDI messages to Customs for pre-clearance and linking the export permit to the EDI and handing documents to transporters/clients. Sending pre-clearance documents together with CN1 received from Customs and customers rail permit to Transnet for loading of rail orders. Uploading of requested documents to Customs via e@syScan for releasing of goods approved by Customs. Submission of SADC Certificate to Customs on request of customers. Submission of cancellation EDI to Customs for every entry/order not uplifted by transporters. Preparing of overland export documentation by sending EDI messages to Customs for voucher of correction after upliftment of road and rail orders to amend the volume and value of each entry submitted to Customs/SARS. Timeously checklisting of all acquittal documentation for acquittal purposes.
  • Capturing and labelling of all documents for filing for easy retrieval on request for SARS or internal audits. Documents older than 2 years to be send off-site to Tidy Files or archiving. Monitoring of documents older than 5 years that needs to be destroyed.
Governance and Compliance in SA Energy with respect to Export’s
  • Weekly checking of sealing agents verification report for invoicing. TD Shipment transferring for sealing agent’s invoices on a monthly basis and send invoices to TSS for payment. Payment of invoices to service providers e.g. Tidy files and temporally staff. To ensure that the proof of delivery received from the transporters have all the necessary documents and that the necessary documents is completed for acquittal purposes. Ensure SOX compliance requirements such as the 3 and 30 day Customs Regulations.
The Acquittal Process for SA Energy
  • Ensuring that all the proof of deliveries are received from the transporter and that the documentation is completed and singed according to the SARS Rules and Regulations. Ensuring that the correct acquittal checklists that is signed off for the SOX quarter is used for check listing acquittals. Ensuring that all the proof of deliveries marked on SAP.
Building and Maintaining Relationships with Transporters, Service Providers and Wholesale Marketing
  • Regular interaction with transporters and service providers to ensure that deviations to process/procedures are addressed urgently. Regular interaction with Wholesale Marketing and CDF regarding orders of clients and client needs and arrangements made regarding SADC Certificates etc.

Qualifications:
Grade 12 and relevant Diploma with 2-3 year Export Environment
