Administrative Specialist/Event Planner

Responsibilities:
The Administrative Specialist/Event Planner shall provide the following:

Support for Agency conferences, events, and visits, to include site selection; event set-up and design; budget estimating and tracking/reporting; registration; identification of guest speakers and coordination of travel requirements; and all necessary on-site meeting administration and logistics. The Event Planner will provide exceptional customer service by coordinating, implementing, and advising Agency customers on a wide range of event information and special service functions. She/he shall facilitate the planning, coordination, execution and synchronization of events, high level visits and customer services programs. She/he shall coordinate graphic and web based support; creation of any needed resource documents; activities scheduling and maintenance of venue sites, contact and attendee databases.

Specific Requirements:

The Administrative Specialist/Event Planner will perform the following:

  • Schedule and manage digitally and manually enabled conference rooms and facilities
  • Venue and video teleconference (VTC) scheduling
  • De-conflict any scheduling issues with customers
  • Work in conjunction with the government Project Manager on all phases of an event
  • Support all events as they occur
  • Close out conference rooms each day and ensure they are ready for occupancy at the close of each day. Proper signage which includes meeting info should also be posted daily.
  • Event Production
  • Conference Management (such as registration area, advertisement, pre-event registration, facility security, etc.)
  • Technical Support Services would include, but not be limited to coordination of audiovisual and information technology services
  • Attend all meetings required for a planned event
  • Banners & Stake Signs. Hang/install all banners and stake signs as required
  • Equipment (folding chairs, folding tables, table cloths, table skirts, stanchions, ropes, water coolers, and tents) to include setup and teardown as required
  • Coordinate manpower required to move and set-up government equipment (i.e., picnic tables, dining area tables and chairs)
  • Empty trash cans and replace bags as needed throughout the enclosed event area (i.e., Family Day) including picking up of loose trash within the enclosed event area

Qualifications:
Applicant should be highly qualified, a fast learner, and:

  • have a current/active TS/SCI security clearance ,
  • have at least one year of prior experience in the Event Planner field, scheduling/planning knowledge,
  • be able to adapt in a fast paced customer oriented environment.

The applicant should demonstrate initiative, team work, be willing to learn more, be professional and engage excellence in customer service behaviors.
