JOB SUMMARY:

The Administrative Service s Officer II will facilitate project teams, conduct research, and prepare position papers, comprehensive reports and publications. This position will also track, monitor, and report statistical information on staff, offenders, and programs, as well as monitor and revise existing policy and procedure document s for the Bureau.

JOB DUTIES:

– Researches and facilitate project teams

– Compiles data and reports findings

– Monitors and reports statistical information for the Bureau

– Composes professional correspondence to inquiries and/or complaints from the public

– Manages and tracks projects and assignments to ensure completion

– Prepares and coordinates various reports

– Attends various meeting, which may include representing the Administrator

– May supervise two lower level staff members

– Drives on State business

– Performs other duties appropriate to the assignment

KNOWLEDGE, SKILLS AND ABILITIES (KSAs):

Knowledge of:

– Policy development and project management systems programs and practices

– Planning, statistics as applied to program analysis, staffing patters and efficiency

– Research methodologies

– Business correspondence formats and report generation, creation of spreadsheets and graphs for trends and statistical review

– Professional level grammar, spelling and punctuation

– Supervisory techniques including; motivate, guide, correct and document subordinates performance

– Office management and organization

– Computers programs including Microsoft Word, Excel and PowerPoint

– Laws, rules, regulations, policies, and procedures pertaining to the area of assignment

Skill in:

– Analysis and interpretation of managing complex work groups

– Collecting and maintaining accurate data and documentation

– Conducting research and extracting, compiling, analyzing, synthesizing and presenting information

– Establishing and maintaining professional interpersonal relations

– Directing, training , motivating and reviewing work of others

– Designing, planning and developing various systems and projects

– Presenting presentation and public speaking

– Time management and multi-tasking

– Independent decision making

Ability to:

– Analyze and coordinate multiple activities

– Conduct research and find industry standards

– Read a strategic plan and enact the objectives

– Work in a fast pace environment with changing priorities

– Lead various working groups, delegate assignments and ensure completion

– Handle sensitive and confidential information with utmost discretion

– Interpret and apply department policies and procedures, Personnel Rules and other directives

– Work in a secure/correctional environment

SPECIAL SELECTION FACTOR(S):

Requires possession of, and ability to retain a current, valid state-issued driver’s license appropriate to the assignment. Employees who drive on state business are subject to drivers license record checks, must maintain acceptable driving records and must complete any required driver training (see Arizona Administrative Code R2-10-207.12).

SELECTIVE PREFERENCE(S):

– Proficient in data collection and data analysis

– Strong skills in project management

PRE-EMPLOYMENT REQUIREMENTS:

Employment is contingent on the selected applicant passing a background investigation and a drug test*.

RETIREMENT:

Positions in this classification participate in the Arizona State Retirement System (ASRS).

Enrollment eligibility will become effective after 27 weeks of employment.
