Administrative Coordinator I

The Department of Mental Health is a drug-free workplace. All candidates will be required to pass a mandatory pre-employment drug test.

This position is located at the Department of Mental Health, Central Office, 2414 Bull Street, Columbia, SC 29201.

Ensure that all electronic claims for Telepsychiatry billing are filed in a timely and accurately manner. Will follow up on claims filed and ensure payment is received by all Insurance carriers, Managed Care Organizations and Third Party Payers. Follow up with hospitals and mental health centers for corrections of addresses, or other client information needed to facilitate claims and billing process. Ensure all billing reports are complete and accurate weekly. Respond to correspondence through mail or telephone or forwarding to appropriate manager. Assist in collection efforts to include phone calls, payment processing and mail tracking. Assist with yearly tax set off process.

Create third party claims once changes are closed and accurately allocated. Prepare, batch all claims in the CIS system for transmission and processing. Submit claims to supervisor or designee for review and approval prior to submission. Will need to submit all claims electronically in the CIS system and key them into our clearinghouse for psychiatric and physician billing. Must process claims in our clearinghouse from our CIS system.

Perform appropriate follow up activities to ensure timely payment and to minimize aged claims. Maintain files to document all work related claims processing follow up and payments or denials. Contact any insurance company or federal or state agency to obtain and/or verify any available benefits or insurance coverage information. Submit letters for collections to clients for insurance and managed care organization carriers as needed on a daily basis.

Completed weekly and monthly reports for Third Party, Insurance and Managed Care Organizations.

Respond to correspondence through mail or telephone for all Third Party, Insurance and Manage Care Organizations.

Assist with yearly Tax Set Off Process.

Bill all services to appropriate payer source and follow up all claims to ensure completion. Under supervision bill appropriate billing payer as assigned, contact CMHC’s or hospitals to facilitate claims. Provide follow up on all claims billed to payer sources to ensure completion. Complete billing reports specific to assigned payer source ensuring accuracy of data. Respond to correspondence through mail or telephone or forwarding to appropriate manager. Assist in collection efforts, to include phone calls, payment processing and mail tracking.

Other duties as assigned.

Minimum and Additional Requirements:

A high school diploma and 3 years relevant experience in professional management, public administration, or administrative services or a bachelors’ degree may be substituted for the required work experience. Must be capable of researching departmental records to obtain accurate accounting of finance auditing, receipts and other financial transactions. Possess clear concise, oral, and written communication skills.

Preferred Qualifications:

Experience with claims processing software preferred. Must be detail oriented and must understand and carry out balancing procedures. Knowledge of State Government fiscal and accounting processes.

Additional Comments:

Under limited supervision employee should be able to coordinate and manage billing systems for Telepsych. Conducts follow up on all claims and completes weekly reports.
