Administrative Clerk- Research- Palo Alto

The primary purpose of the Administrative Clerk I position is to provide clerical support to designated department(s) and faculty. Administrative Clerk must have be organized and have excellent communication skills, a high level of initiative and the ability to prioritize tasks. They must also have the ability to interact effectively with a wide variety of people in a diverse environment, exercising tact and discretion when screening visitors and telephone calls. Additionally, the role requires punctuality, ability to manage multiple tasks and effectively meet deadlines while working independently. Interactions occur with immediate supervisors, faculty and staff, guests/vendors, and study patients/research participants.

Principal Accountabilities:

Receives and screens visitors/department personnel and answers telephone calls in a prompt, courteous manner, using discretion and good judgment

Responds to basic inquiries and refers more complex questions to appropriate personnel

Performs general office duties, maintains various administrative files, schedules conference rooms, receives and records deliveries, inventories supplies and orders as needed, provides clerical assistance to Finance Department.

Inventories office supplies to ensure that a sufficient amount of all items are always on hand.

Orders supplies as needed

Maintains photocopy and fax machines, adding toner, clearing jams, and arranging for service needed

Performs miscellaneous duties as assigned

Qualifications


Education/Certification/Licensure/Experience/Skills

High School diploma or GED Certification, with 1-2 years of job related experience;

Knowledge of personal computers and software (MS Office 2003 and 2007; specifically Outlook, Word, Excel, PowerPoint)

General Internet knowledge

Knowledge of general office procedures

Ability to type 40+ wpm

Excellent organizational, communication, and clerical skills

Pleasant telephone manner

Ability to know when to use independent judgment when working on specific special projects

Ability to prioritized work and follow detailed instructions
