Administrative Assistant Sr

The Administrative Assistant will manage, with high degree of autonomy, administrative duties to the Huntsville/Redstone Arsenal Government Affairs office. This position will ensure management is prepared for external and internal meetings.

  • External meetings: information passed to appropriate agencies/parties for security, access; Meeting location & point of contact provided, provide any materials needed for the meeting, transportation arrangements, and necessary information to be communicated to staff.
  • Internal meetings: external guest’s information provided to security, materials for meeting developed and provided, and run presentations as necessary.

This position will be responsible to manage detailed travel arrangements, expense reports, and credit card reconciliation. Will communicate with management regarding scheduling of meetings, important emails, meeting notices, phone messages, etc. This position will maintain team vacation calendar and assist with staff’s calendar and priority reports as needed. The individual will proactively anticipate issues/solve programs (example: scheduling conflicts, etc.) while handling information with the highest level of confidentiality. Must be able to effectively interact with senior level customers, suppliers and company personnel. The individual will need to be flexible and available to take on additional duties/responsibilities to ensure exceptional organizational performance.

Basic Qualifications

  • Extensive and recent administrative assistant experience supporting high level client(s).
  • Ability to maintain complicated calendars, work and re-work meeting requests and scheduling.
  • Ability to prioritize tasks and manage time with limited supervision.
  • Exceptional organizational skills (e.g. filing systems).
  • Proficient computer skills and an advanced level of proficiency with Microsoft Office Suite of applications (especially PowerPoint and Excel).
  • Candidate must possess ability to maintain a high degree of confidentiality

Desired skills

  • Efficient and effective communications skills (verbal and written).
  • Act with diplomacy and discretion with customers, colleagues, and superiors.
  • Effective interpersonal organizational skills.
  • Familiarity with LM administrative tasks and systems, especially Concur, budget tracking/resolution and purchased supplies resolution (LMPurchase to Pay).
  • VTC operation skills a plus.
  • Ability to possess a security clearance.
  • Ability to be a self-starter in low periods of business cycle activity…take initiative to find useful endeavors that serve the office well.
