Administrative Assistant – Office & Administrative Specialist Intermediate

The State of Minnesota Board of Dentistry exists to promote and protect public health and safety; and ensure that every licensed dental professional practicing in the state meets the requirements for safe, competent and ethical practice.

The Administrative Assistance is responsible for providing clerical and administrative support to the Board, the Executive Director, and the staff.

Responsibilities include:

  • Provide clerical, secretarial, and administrative support to the Board’s Executive Director and other staff.
  • Provide support services to licensing and compliance team.
  • To provide staff support regarding matters related to national, regional and state dental professional examinations.

Qualifications

Minimum Qualifications:

  • Customer Services skills sufficient to provide information to clients, including phone calls and walk-in contacts in helpful and courteous manner.
  • Data Entry skills sufficient to create database records and update entries or create and apply the basics of spreadsheets and supply/retrieve information in databases.
  • Desktop Publishing skills sufficient to develop and maintain mailing lists and other documentation accurately and with proficiency.
  • English Language skills in writing, speaking, and/or reading sufficient to compose correspondence with accurate spelling, grammar and punctuation; and to communicate effectively with co-workers, customers and the general public.
  • Spreadsheets skills sufficient to develop and modify basic spreadsheets; and sort and extract data.
  • Typing/ Keyboarding skills sufficient to complete a variety of reports, letters and data summaries.
  • Word processing skills sufficient to develop and modify a variety of correspondence, records and reports; develop forms and charts.


Preferred Qualifications:

  • Experience working as an administrative assistant.
  • Exceptional communication skills via in person, phone, email, and letter correspondence.
  • Problem analysis skills with ability to see and recommend possible solutions.
  • Ability to multi-task and work independently with a strong work ethic and demonstrated record of regular attendance.
  • Ability to interact and communicate with a diverse group of individuals.
  • Ability to work well deadline-driven environment.


Physical Requirements

This position requires occasional lifting of articles such as file boxes or heavier materials, with help from others, and/or lifting and carrying light objects frequently. Even though the weights being lifted may only be a negligible amount, a job is in this category may require walking or standing to a significant degree or may involve sitting most of the time with a degree of pushing and pulling of arm and/or leg controls.
