    CSRA is looking to hire an Administrative Assistant to directly support a Director at the Department of State with calendar management, scheduling of all meetings and screening of all phone calls.

    • Perform standard office functions such as setting up and maintaining files; interviewing callers and making proper referrals.
    • Arrange meetings and conferences.
    • Receive, refer, and answer emails.
    • Review drafts and finished documents for appropriate grammatical usage and answer questions related to office operations and established policies and procedures.
    • Gather, compile and report on information relevant to the director’s assignment.

    Responsibilities:
    Assist the Office / Directorate personnel with the onboarding processes to include badging, clearance approvals, and acclimation into the office.

    • Prepare, organize, and package informational materials needed for briefings, reports, and deliverables.
    • Coordinate travel for the director and front office staff to Posts overseas and other domestic locations, as required.
    • Support the office daily wherever needed to include ordering paper, passing clearances, maintaining morale, and various other tasks necessary to ensure office is running smoothly.
    • Be a representative for the Office Director and provide support upon request.
    • Arrange travel schedules and makes appropriate reservations.
    • Maintain schedules and calendars; assists in budgeting tasks such as tracking leave and department expenditures.
    • Schedule and maintains calendars for conference rooms and/or coordinates meetings. Compiles, catalogs, and maintains information on materials and documents.
    • Interface with requesters and directs them to location of specific items.
    • Assist with processing timesheets and travel forms.
    • Coordinate status of documents and reports. Updates and prepares listing of weekly or monthly status reports.
    • Complete all expense reports, as needed. Processes check requests and other financial requests, as needed. Monitors costs of tasks to detect cost overruns.

    Competencies:

    • Ability to exercise a high level of professionalism required for the support of Division staff.
    • Ability to communicate effectively, both written and oral.
    • Demonstrated strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
    • Demonstrated proactive approaches to problem solving with strong decision-making capabilities.
    • Demonstrated self-motivation and self-direction, flexibility, the ability to work independently as well as in a team.

    Qualifications:
    Minimum of Interim Secret Clearance to start and clearable to TS/SCI. No polygraph required.

    Required Skills

    • HS or equivalent and 3 years office related experience
    • Minimum of 3 years’ experience with Microsoft Office suite including Word and Excel

    Desired Skills

    • Previous experience supporting Executive level staff is preferred
    • Strong secretarial skills and competencies including demonstrated knowledge of correspondence preparation, proofreading, spelling and grammar skills.
