Administrative Assistant I, International Students Office

ADMINISTRATIVE ASSISTANT I, Office of the Dean for Graduate Education-International Students Office (ISO) (part-time, 20 hrs/wk.), to support a vibrant office that serves over 4,800 international students and their dependents in areas of immigration/visa advising, academic support, cultural adjustment, and personal matters that effect their studies and post-degree training in the U.S. Responsibilities include providing front line/reception coverage during lunch hours and vacation periods of specific administrative staff or other coverage needs; scheduling student appointments with ISO advisors and staff; providing main telephone line coverage for the office; processing mailings of immigration documents to new and continuing students; assisting with orientation and immigration information sessions for new students; completing SUNAPSIS document review and printing of necessary immigration or admission documents; reviewing and assigning completed SUNAPSIS E-Forms to appropriate ISO advisor; assisting with financial record keeping and processing and office administrative/operational issues such as facilities and meetings; handling daily mail; issuing ISO support letters for student application requests, e.g., social security number applications and invitation letters for student’s family visits to the U.S.; contacting/distributing initial immigration documents to departments and programs; assisting with ISO programing events; and reviewing and answering emails received ISO-Help emails.

Job Requirements

REQUIRED: a minimum of two years’ experience working in an administrative support capacity; knowledge of Microsoft Office (Word, Excel, PowerPoint); experience working with database applications and willingness to learn new software as needed; ability to multitask; comfort working in a cross-cultural setting and communicating with individuals from various ethnic, cultural, religious, and language backgrounds; and experience working in a team-oriented environment. Bachelor’s degree preferred. Experience working in a higher education institution setting strongly desired. Knowledge of MIT beneficial. Job #14512-4

Salary range: $18-20.00/hour depending upon experience
