The Opportunity

We are looking for an Administrative Assistant to be responsible for the provision of administrative and secretarial services to Executive level and direct management team, ensuring efficient and effective operations and communications. The Administrative Assistant will also provide support for leadership and business-wide activities. This position will have exposure to multiple groups within Rio Tinto, liaising with executives and employees from across the globe, as well as external stakeholders and guests of Rio Tinto.

What the role entails

Reporting to the Managing Director, the key accountabilities of the Administrative Assistant are:

  • Provides secretarial/administrative support directly to executives, exercising confidentiality, tact and diplomacy.
  • Acts as the point of contact between the executives and internal/external stakeholders.
  • Uses business software applications (e.g., word processing, presentation and spreadsheet) to prepare correspondence, reports, presentations, agendas, minutes, etc.
  • Receives, screens and directs incoming calls, visitors, mail and e-mail.
  • Maintains files, records, calendars and diaries; typically arranges business travel, coordinates and facilitates meetings, and tracks expenses.
  • Manages dashboards, monthly reports and support any functional or special projects.
  • Manages end to end service requests for stakeholders.

What you will need for this role

To succeed in this role, The Administrative Assistant will have:

  • Proven experience as a self-driven, reliable and proactive Administrative Assistant for at least 1 years.
  • A minimum of high school diploma or GED.
  • Working knowledge of Microsoft Office package including Word and Excel.
  • Self-motivated and ability proactively find solutions to challenges.
  • Sound interpersonal and communication skills.
  • Detailed oriented and sense of urgency.
  • Grasp issues quickly, identify priorities and deliver on time.
  • Handle confidential information with the highest level of discretion.

It will also be beneficial if the Administrative Assistant has:

  • Proficiency in SAP
  • Knowledge of Yammer social media and SharePoint
