Administrative Assistant

The Henderson Group Unlimited, Inc., a government contractor, has an opening for an Administrative Assistant position in Atlanta, GA.

Duties shall include the following but not limited to:

  • Provide executive level support to the Office of the Chief Information Security Officer, and Deputy Director.
  • Conducts complex and multi-functional tasks ensuring the flow of information to and from the Office of the Director is efficiently and effectively managed, confidentially quarantined as appropriate and that complete briefing material is provided in a timely manner. To the maximum extent possible, accessing and preparation of such material is done utilizing office automation software to prepare travel and training requirements, and documenting, by using basic and advanced functions of a variety of types of office automation software, e.g., database, spreadsheet, and word processing. Selects the most appropriate software type or integrates different software types for a specific office need and resolves problems with current automated office support. Work involves operation of electric typewriters and personal computers, and requires the services of a qualified typist.
  • Serves as liaison between the Director and individuals in the immediate office and/or subordinate offices, the general public and other offices.
  • Directs visitors and callers from other Federal Departments and agencies, members of Congress, academia and/or research institutions, professional societies, foreign governments, state and local health department officials and public action groups.
  • On a daily basis prepare a daily briefing folder with a concise outline of the anticipated events and notations on special issues.
  • Provide communication links between the Office of Director, OCISO and other offices of CDC and outside organizations.
  • Ensures calendars and agendas for outside officials are appropriately scheduled.
  • Efficiently plans and schedules meetings and visitors and assures that briefing material are provided in the proper format. Assures that all logistical arrangements related to speeches are made and executed.
  • Initiates and/or composes a variety of correspondence based on the Director’s views and desires or as directed by him/her. Receives and reads incoming correspondence/reports addressed to the Director and screens those items that should be handled personally by him/her.
  • Organize and routes correspondence to appropriate staff section or prepares reply as necessary.
  • Review and signs correspondence of a non-technical nature for the supervisor during the supervisor’s absences and ensures its accuracy and consistency with the supervisor’s views.
  • Manage communications to and from the Office of Director regarding policy, procedure, correspondence and other confidential and sensitive information while in compliance with Health and Human Services and CDC guidelines.
  • Promptly responds to requests for reference or guidance from Principals in the Office of the Director on matters relating to the day-to-day operations of the office. Disseminates current reference information and updates in a timely manner.
  • Independently handles complex and routing inquires. Effectively networks to accomplish tasks, and display a high degree of professionalism when interacting with Deputies, Managers, Principals and guests of the Office of the Director. Exercises a high degree of tact, courtesy, cooperation and diplomacy in dealing with people within and outside of CDC. Provides information about the office, its functions, and standard operating procedures to ensure cohesiveness.
  • Work closely with the Office of the Director’s staff to include the Management Officer, Deputy of Technical Assistance, Associate Directors, Branch Chief and other senior managers to ensure requirements are met in a timely manner and provide assistance and clarification to complete tasks and support the mission.
  • Recommends programmatic and operational processes and procedural changes that will improve the areas of manpower utilization, workload distribution, and week methods and procedures. During complex reviews, applies a myriad of past and currently established policies, regulations, directives, and procedures, and when required expands or establishes new approaches to define and identify courses of action that will contribute to the overall effectiveness of the office.
  • Continually ensures the Office of the Director is in compliance with all federal and state policies and procedures including but not limited to ethical requirements, equipment, travel procedures, document filing, etc.

Qualified candidates must have at least two years of administrative experience; maintaining files and records preparing executive reports, managing calendars, preparation of meeting agendas and recording minutes. This position requires the individual to have strong oral and written communication skills, telephone etiquette and to be detail oriented
