Seeking Administrative Assistant with a Passion for Child Advocacy

Oregon PTA is searching for a new Administrative Assistant to manage all aspects of our office, located in SE Portland. We are looking for someone who can be invested in the job and invested in the mission of PTA . Oregon PTAs mission is to make every child’s potential a reality by engaging and empowering families and communities to advocate for all children.

The Administrative Assistant serves as liaison between the Board of Directors, PTA members, staff, contractors, delivery companies and the general public. This position sets the tone for Oregon PTA. The Administrative Assistant must display exceptional interpersonal skills and be able to communicate effectively both orally and in writing. Responsibilities include association accounting and bookkeeping, clerical and general office duties.

Hours: 40 hours/week. Hours can be flexible with guidance from Board of Directors

Benefits and Pay: $15-$19/hour depending on experience. Benefits may be discussed but will include vacation time, sick leave, and 9 paid holidays.

Principle Responsibilities:

  • Under the direction of the Board of Directors, provides clerical/office support to all staff and contractors, board members and committees.
  • Performs reception and customer service duties including answering phone and greeting visitors to office.
  • Maintains database system which includes local unit data, member data, payment information and documentation of each units’ essential paperwork.
  • Conducts billing, prepares invoices, collects, processes and deposits payments, sends delinquent notices, oversees collection process.
  • Handles accounts payable via accrual method accounting (Posts liabilities, generates payments).
  • Makes journal entries as directed.
  • Maintains office filing system.
  • Keeps office equipment in working order; liaison with equipment repair personnel.
  • Handles all office logistics, including scheduling, maintenance and meeting preparation.
  • Assists the Conference Chair with logistics and planning of the annual conference; takes responsibility for the production of Conference materials, including vendor book, registration book, and program.
  • Assists the Vice President for Leadership with logistics and planning of Local Unit training opportunities.
  • Handles phone calls, walk-ins, and emails; provides information, answers complaints, refers calls to appropriate person.
  • Attends educational seminars and classes to further knowledge and exposure to association issues.
  • All other duties and functions as assigned. The Board of Directors retains the discretion to add to or change the duties of this position at any time.

Required Qualifications and Skills:

  • Expert in Office suite including word, excel, and powerpoint.
  • Proficiency in Google Apps including Gmail and Google Drive.
  • Experience using accounting software and the ability to learn new tools.
  • Must be open to continuous improvement concepts and interested in contributing to other projects.
  • Experience in office operations, customer service, and public contact.
  • Knowledge of office equipment.
  • Must have professional demeanor and be articulate; must be a self starter. Must be highly organized.
  • Must be able to multitask effectively and interrelate with a diverse population.
  • Must be able to work independently.

Job Type: Full-time

Salary: $15.00 to $19.00 /hour
