We are currently looking
for an Administrative Assistant to join the Thales USA team in Seattle,
WA
.

The
Administrative Assistant
will perform
administrative and support duties for the VP, Boeing Commercial Programs and
others assigned in the Thales Everett Business Development office. Serves as
the general office manager to maintain the office operations. Knowledgeable of
corporate policy, with frequent access to confidential information. Partners closely with their counterparts in
other Thales locations to coordinate corporate visits, Boeing Program
reviews. Manage meeting calendars,
develop PowerPoint and Excel presentations, and manage travel. Work requires
some administrative analysis, creativity, as well as use of initiative and
independent judgment.

Key Responsibilities:

1) Provides administrative support.

  • Serves as an general
    office manager ensuring that office operates efficiently (e.g., ordering
    supplies, organizing office, local contact for landlord).
  • Coordinates management’s
    schedule. Includes making appointments establishing agendas.
  • Arranges and coordinates
    all business travel. Completes expense
    reports.
  • Handles all confidential material
    relevant to company operations.
  • Screens telephone calls
    and incoming mail. Reads, priorities mail, handles passes on for response, and
    ensures follow-up.
    • Anticipates work needs and
      prioritizes work accordingly.
    • Performs word processing,
      Power Point, and Excel duties.
    • Maintains filing
      system.
    • Serves as the receptionist
      when external visitors are planned in the facility.

2) Performs various
analytical special projects, especially involving budgets and preparations for
senior management meetings. Follows-up
with staff, ensuring accurate and timely completion of projects.

3) Coordinates and
arranges all management meetings; coordinates use of conference rooms and use
of outside facilities. Supports internal and external visitors meeting,
arranging lunches, refreshments, and maintains relations with vendors.

4) Serves as a contact to
people inside (both U.S. and international) and outside the company.

5) Collaborates with
various staff and departments in preparing special projects. Follows up to ensure accurate and timely
completion of projects. Services may
include helping other managers as necessary.

Coordinates logistics for
demo equipment, urgent Pick up and deliveries.

Required Skills & Experience:

Minimum of associate
degree in business or secretarial science (2-yr program).

Minimum 5+ executive
administrative support in corporate environment.

Excellent communications
and interpersonal skills.

Knowledge of presentation
and spreadsheet software.

Ability to recognize areas
for process improvement, and recommend change/solution.

Professional appearance
and presentation.

Dependable and
dedicated.

Ability to prioritize
daily job functions with minimal oversight.

Detail oriented and able
to handle confidential information of highest level.

Desired Skills:

Knowledge of international
protocol (particularly French) a plus.
Fluency in French a plus.
