Accounts Payable Associate Data Processing (Hours: TBD)

The Accounts Payable Associate Data Processing reports to the Accounts Payable Officer and is responsible for providing financial, administrative and clerical services. This includes processing and monitoring payments and expenditures in an effective and efficient manner to ensure that the financial records are accurate, while making sure that vendors and suppliers are paid within the established time frames.

ESSENTIAL FUNCTIONS

Reporting directly to the Accounts Payable Officer, the Accounts Payable Associate Data Processing performs the following duties:

  • Receives and verifies invoices and requisitions for goods and services.
  • Opens and distributes mail.
  • Verifies that transactions comply with financial policies and procedures.
  • Prepares batches of invoices for data entry.
  • Completes data entry of invoices for payment.
  • Monitors the flow of documents to assure all proper procedures are accomplished in timely manner.
  • Maintains historical records by scanning and filing documents.
  • Serves as backup for other accounting functions as needed.
  • Assists in the interpretation of laws, rules, regulations and fiscal policies and procedures as they apply to functions within the Accounts Payable sections or other phases of highly specialized accounting work needed by the Fiscal Services Division.
  • Reports promptly for work, utilizes time wisely and maintains an acceptable attendance pattern.
  • Overtime hours may be required.
    Performs other duties as assigned by the Accounts Payable Officer.

    REQUIRED QUALIFICATIONS

  • High school diploma or equivalent (G.E.D.)
  • Five (5) years of secretarial/accounts payable experience.
  • Demonstrated proficiency in the use of office technology to meet administrative needs.
  • Demonstrated ability to effectively use word processing, database, spreadsheet, and email software.
  • Demonstrated ability to maintain confidentiality.
  • Demonstrated ability to communicate clearly and concisely in oral and written form.
  • Demonstrated ability to work under pressure and maintain flexibility.
  • Demonstrated strong human relations skills.
  • Demonstrated proficiency in business math.
  • Capable of performing the essential functions of the position with or without reasonable accommodations
  • Regular and predictable attendance.
  • PREFERRED QUALIFICATIONS

  • Experience in PeopleSoft Accounts Payable Applications.
  • Work experience in a public education or government setting.
  • Proficiency in Microsoft Office applications and the internet.
  • Familiarity with the FCPS policies, goals and programs.
  • Salary:

  • Support Salary Scale, Grade 8, 12-month position (260 days – 7 hours / day)
  • Starting Salary $19.17 / hour
