Mission or Purpose: Manage the Operations Department of a $250 – $350 million Community Bank. Ensure Operations staff are performing their roles with efficiency and in compliance with current regulations. Prevent Bank Operations disruptions that could potentially harm or cost the Bank through good planning and oversight of Operations processes and contingency plans. Perform accounting and wire transfer processing for the Bank. Accountable to achieve the principles of First National’s leadership success profile of living the values of the organization: building relationships, leading people to perform and growing the business with intensity, optimism and by driving execution.

Nature and Scope: Manage Operations department staff and processes. Reconcile most internal bank accounts and general ledger accounts as a first line against fraud. Perform and oversee the wire transfer operations of the Bank as a first line against fraud and monitor the Bank’s daily cash position.

Accountabilities:

35% Reconcile the internal bank accounts and general ledger accounts used in daily Bank operations including cash and loans. Reconcile major Bank areas at least monthly including but not limited to fixed assets, prepaid expenses, correspondent bank accounts and holding company accounts. Reconcilements should be timely so financial reporting periods can close free of material misstatements and so fraud attempts can be uncovered quickly. Ensure the accuracy and legitimacy of general ledger and internal bank account transactions by verifying the source and purpose of entries.

25% Oversee and perform wire transfer operations by processing wire requests after all proper verifications and approvals have been obtained. Be the front line of defense against fraudulent attempts by enforcing procedures and controls that mitigate fraud. Manage and track the repetitive wire customer process including codes, limits and agreements. Project daily cash balances and notify the Controller or President when borrowing is necessary. Test Fed Funds borrowing lines periodically. Make recommendations to the Controller and President on wire transfer best practices for fraud loss mitigation and the Bank’s wire transfer program in general.

20% Manage the Operations Department staff and duties not limited to return item processing, overdrafts, accounts payable, deposit maintenance check back, ACH processing, ATM/Debit card maintenance, check adjustments and legal requests for information. Lead staff to be motivated and perform with efficiency. Perform Internal Control review processes to ensure duties are being performed and in a timely manner and work closely with various auditors who review the area. Work to implement best practices to enhance department functionality. Work well with the other departments of the Bank to promote an atmosphere of goodwill. Find resources to stay on top of banking industry changes that might impact the Operations department. Recognize and recommend departmental cost saving measures where appropriate.

10% Support the Controller with special projects or research and learn to back up Controller duties not limited to investment portfolio maintenance, call reporting and financial presentations

5% Provide back up to the Operations Department as necessary. Report to work as scheduled and assist with other duties as assigned

Experience Required:

  • 5 years banking Operations experience
  • Familiarity with general ledgers

Work Environment

Position operates in a professional office environment. Role routinely uses standards office equipment such as computers, copy machines, telephones, fax machines, and filing cabinets. Noise level in work environment is usually low to moderate.
