Job Description: The Accounting Clerk is responsible for computing, classifying, and recording financial transactions to ensure the financial records of the organization are accurate. This position also assists in payroll functions, routine financial calculations, accounts payable and accounts receivable functions. This position requires attention to detail, the ability to work independently as well as in a team setting, strong communication skills, and an aptitude for accounting functions and compliance. The responsibilities of this position are:

  • Accounts payable functions including; receiving invoices, entering invoices into QuickBooks, checking figures, postings, and documents for accuracy and proper account coding;
  • Accounts receivables functions including; receiving and recording all checks, checking all entries and documents for accuracy and proper coding;
  • Payroll responsibilities including; entering charge numbers for employees in timekeeping system, transferring timesheets to QuickBooks, calculating vacation adjustments; communicating to staff appropriate charge codes for employee use, timesheet adjustments and managing employee submission process;
  • Monitoring all payroll charge numbers for tracking and cost reporting for internal usage and customer reports;
  • Reconciles timekeeping with payroll and invoicing systems; reports, investigates, and resolves discrepancies found;
  • Classifying, recording and summarizing numerical and financial data to compile and keep financial records, using internal systems and controls;
  • Manages all purchasing accounts in a dual-entry system including profit and loss reporting, reconciling statements/receipts, assigning charge numbers to purchases, reporting, and tracking;
  • Manages cost reporting for various contracts with the US Government, subcontracts with large and small businesses, and prime contractors;
  • Draft, revise, document, and reconcile employee expense and travel expense reports;
  • Coordinate with Program Managers and Contracts to track authorized and spent funding;
  • Procurement responsibilities, to include: purchasing of materials for Technical Operations Department, creating purchase orders, submitting orders, and maintaining purchase trackers;
  • Populate and maintain approved supplier list;
  • All other duties as assigned to support management and the mission of the company.

Required Qualifications:

  • Bachelor’s Degree in Business Accounting, Finance or other related field;
  • A minimum of two years of experience in accounting, bookkeeping, or finance, preferably in government contracting; and
  • Experience in Microsoft Office Suite; QuickBooks, or related accounting software.
