Job Title: Accounting Assistant

Reports to: Director of Finance and Operations

Status: Part-time, Approximately 20 – 25 hours per week

FLSA Status: Non-exempt

Starting Wage: $17.00 – $18.00 per hour

Pathfinders of Oregon is a 501 (c) (3) social service agency founded in 1993 that provides services to individuals and families who have been impacted by the criminal justice system. We accomplish our mission through prevention and intervention focused on high risk individuals, families and children.

The Accounting Assistant directly supports the Director of Finance and Operations with routine accounting transaction entry and finance related tasks. These tasks can include complex reporting/data analysis, report development, and special projects. The skills required by this position are typically developed through one or more years of college level accounting or finance coursework, combined with one or more years of accounting clerk/assistant work experience.

Pathfinders of Oregon is a medium sized nonprofit with approximately 70 employees. The Administrative office is located in the Marquam Building in downtown SW Portland. The daily work schedule is flexible and the workload will vary based on monthly reporting due dates. The Accounting Assistant may start work as early as 8:00am and leave as late as 6:00pm. It’s important to note that we are a dog friendly office in a dog friendly building.

Essential Duties and Responsibilities:

This position is responsible for various accounting and data entry tasks including, but not limited to:

Accounts Payable

  • Make sure all invoices have been received from vendors; obtain approvals & receipts, etc.
  • Enter invoices into the AP system, reconcile and enter employee credit card transactions.
  • Process employee expense and mileage reimbursements, monitor adherence to travel policy.
  • Process vendor payments, manage electronic billings/payments.
  • Keep track of outstanding issues related to vendors, credit card recon’s and other accounting functions, and maintain vendor files.

Accounts Receivable, Grants, Contract Billings

  • Update grant/contract info, and assist with preparation of combination invoice/project reports that require a high level of accuracy.
  • Enter invoices and record payments into the accounting system.
  • Assist with preparation of deposits, including updates of various spreadsheets throughout the system.
  • Assist with coordinating reports to funders by developing and using queries from Access databases to support reports and billings.

Accounting, Reporting, Budget

  • Assist with implementing, as well as updating, new and existing financial policies and procedures.
  • Assist with troubleshooting and correcting accounting system glitches.
  • Process complex data queries from accounting system, pull data from other sources for a variety of data analysis purposes.
  • Set up Excel financial reports with sometimes complex calculations to provide accurate data for expense trend and projection analysis.
  • Assist with preparation of monthly Financial Statements and reports, as well as Agency and Grant-specific budgets.
  • Update fixed assets listing, determine depreciation, update master equipment inventory list.
  • Provide annual audit assistance.

Other

  • Provide back-up assistance for phones, data entry.
  • May need to assist with DOC and CTR database queries and updates.
  • Occasional correspondence preparation.
  • Other duties as assigned.

Education/Technical Requirements:

  • Some college-level finance and accounting coursework or equivalent experience.
  • 1 – 2 years of recent experience with accounting software is required. Experience with programs other than QuickBooks is preferred and experience using accounting software in a non-profit environment is strongly preferred.
  • Fast, accurate data entry and 10-key adding machine skills required.
  • Good understanding of database structure and related technical tools.
  • Ability to work independently, take initiative and follow through with assignments to completion.
  • Excellent oral and written communication skills.
  • Ability to write effective reports and correspondence.
  • Strong logical and analytical skills.
  • Intermediate knowledge of Microsoft Office Suite (Word, Excel, and/or Access, Outlook and Internet Explorer).
  • Ability to read and interpret complex documents such as safety rules, operating and maintenance instructions, contracts, accounting rules, other regulatory documents, and procedure manuals.
  • Must be able to pass a background check and drug screen.
